Responsibilities
- Manage and organize the schedules, appointments, and meetings of the head of the authority, including preparing agendas, coordinating documents, editing minutes, and following up on decisions
- Directly supervise all executive secretarial work in the office of the head of the authority, distribute tasks to the administrative support team, and monitor quality and accuracy
- Manage official correspondence incoming and outgoing through approved systems, prioritize, draft and review letters, memos, and reports before approval
- Follow up on the implementation of directives and decisions of the head of the authority in coordination with relevant leadership and organizational units, and prepare periodic reports on achievements and challenges
- Organize and manage files, records, and documents (paper and electronic) according to approved policies, ensuring confidentiality and easy retrieval
- Coordinate and organize official visits and internal/external meetings, manage protocol and reception to reflect the professional image of the authority
- Prepare presentations, periodic and annual reports, and performance indicators related to the office of the head of the authority
- Act as the main point of contact between the head of the authority and all organizational units and external parties, ensuring clarity, accuracy, and speed of information flow
- Coordinate with the planning and development department regarding requirements of the office of the head of the authority such as attendance, leave, training, and other administrative requirements
- Monitor the operational needs of the office, track expenses, and contribute to the preparation and follow up of the budget of the office of the head of the authority
- Propose and develop work procedures in the office of the head of the authority through the use of digital systems and modern technologies to enhance efficiency and productivity
Requirements
- Diploma holders: at least 11 years of experience in executive secretarial or related administrative fields
- Bachelor's degree holders: at least 5 years of experience in executive secretarial, including direct experience supporting senior management
- UAE nationality required

Job Description
- إدارة وتنظيم جداول ومواعيد واجتماعات رئيس الجهاز، بما يشمل إعداد جداول الأعمال، وتنسيق وتجهيز المستندات، وتحرير محاضر الاجتماعات وتوثيق القرارات ومتابعة تنفيذها.
- الإشراف المباشر على كافة أعمال السكرتارية التنفيذية في مكتب رئيس الجهاز، وتوزيع المهام على فريق الدعم الإداري ومتابعة جودة ودقة التنفيذ.
- إدارة المراسلات الرسمية الصادرة والواردة عبر الأنظمة المعتمدة، وفرزها حسب الأولوية، وصياغة ومراجعة الخطابات والمذكرات والتقارير قبل اعتمادها.
- متابعة تنفيذ توجيهات وقرارات رئيس الجهاز بالتنسيق مع القيادات والوحدات التنظيمية المعنية، وإعداد تقارير دورية توضح مستوى الإنجاز والتحديات.
- تنظيم وإدارة الملفات والسجلات والوثائق الورقية والإلكترونية وفق السياسات المعتمدة، وضمان سريتها وسهولة الرجوع إليها.
- تنسيق وتنظيم الزيارات الرسمية والاجتماعات الداخلية والخارجية، وإدارة أعمال البروتوكول والاستقبال بما يعكس الصورة المهنية للجهاز.
- إعداد العروض التقديمية والتقارير الدورية والسنوية ومؤشرات الأداء المرتبطة بمكتب رئيس الجهاز.
- العمل كنقطة اتصال رئيسية بين رئيس الجهاز وكافة الوحدات التنظيمية والجهات الخارجية، وضمان وضوح ودقة وسرعة تدفق المعلومات.
- التنسيق مع إدارة التخطيط والتطوير فيما يخص متطلبات مكتب رئيس الجهاز مثل الحضور والانصراف والإجازات والتدريب وغيرها من المتطلبات الإدارية.
- متابعة الاحتياجات التشغيلية للمكتب، ومراقبة المصروفات، والمساهمة في إعداد ومتابعة ميزانية مكتب رئيس الجهاز.
- اقتراح وتطوير إجراءات العمل في مكتب رئيس الجهاز من خلال استخدام الأنظمة الرقمية والتقنيات الحديثة لتعزيز الكفاءة والإنتاجية.
Qualifications
- حاملو الدبلوم: خبرة لا تقل عن 11 عاماً في أعمال السكرتارية التنفيذية أو المجالات الإدارية ذات الصلة.
- حاملو درجة البكالوريوس: خبرة لا تقل عن 5 سنوات في مجال السكرتارية التنفيذية، بما في ذلك خبرة مباشرة في دعم الإدارة العليا أو شغل وظائف إدارية ذات صلة.
