About the Role

Responsibilities
- Coordinate administrative activities across multiple capital projects simultaneously
- Support Project Managers and the Project Delivery Lead with day to day project coordination requirements
- Maintain project trackers, action logs, risk registers, and status updates
- Coordinate meetings, workshops, and project reviews, including agenda preparation and minute taking
- Track project deliverables, deadlines, approvals, and follow up actions with stakeholders
- Support purchase order (PO) creation, tracking, and management processes in coordination with Procurement and Finance teams
- Monitor invoice submissions, payment follow ups, and budget tracking support activities
- Coordinate communication between internal departments, consultants, contractors, and external stakeholders
- Prepare project reports, dashboards, presentations, and status summaries for leadership meetings
- Ensure project documentation aligns with governance, compliance, and audit requirements
Requirements
- Bachelor’s degree in business administration, Project Management, Engineering Administration, or related field preferred
- 4–7 years of experience in project coordination, project administration, executive support, or PMO support roles
- Experience supporting CAPEX, construction, engineering, or project delivery teams is preferred
- Familiarity with procurement and PO processes is advantageous

Role Summary

Project Coordination & Administration
- Coordinate administrative activities across multiple capital projects simultaneously.
- Support Project Managers and the Project Delivery Lead with day to day project coordination requirements.
- Maintain project trackers, action logs, risk registers, and status updates to ensure information is accurate and up to date.
- Coordinate meetings, workshops, and project reviews, including agenda preparation and minute taking where required.
- Track project deliverables, deadlines, approvals, and follow up actions with stakeholders.
Financial & Procurement Coordination
- Support purchase order (PO) creation, tracking, and management processes in coordination with Procurement and Finance teams.
- Monitor invoice submissions, payment follow ups, and budget tracking support activities.
- Ensure all project related documentation and approvals are properly maintained and filed.
- Assist with vendor coordination and documentation requirements.
Stakeholder & Team Support
- Coordinate communication between internal departments, consultants, contractors, and external stakeholders.
- Manage diary scheduling and calendar coordination for the Project Delivery Lead and key project meetings.
- Support onboarding coordination for project consultants, contractors, or temporary team members where required.
- Ensure timely circulation of project updates, reports, and meeting materials.
Reporting & Governance
- Prepare project reports, dashboards, presentations, and status summaries for leadership meetings.
- Ensure project documentation aligns with governance, compliance, and audit requirements.
- Maintain centralised project filing systems and document control processes.
- Support continuous improvement of administrative and project coordination processes.
Requirements
- Bachelor’s degree in business administration, Project Management, Engineering Administration, or related field preferred.
