Job Summary

MAIR Group is seeking a highly organised and proactive Senior Administration Officer to provide executive, administrative, and coordination support to the CEO of Makani Real Estate.

This role is critical to ensuring the smooth operation of the CEO’s office, effective follow-up on key business matters, and strong coordination between Makani Real Estate, internal departments, and MAIR Group shared services.

The ideal candidate will manage executive documentation, presentations, meeting minutes, approvals, reporting, and administrative activities, while acting as a central coordination point across Finance, Legal, HR, IT, and other business functions.

Key Responsibilities

  • Provide high-level executive and administrative support to the CEO of Makani Real Estate.
  • Prepare professional presentations, memos, reports, meeting agendas, minutes, and other executive documentation.
  • Track decisions, action points, approvals, and outstanding matters, ensuring timely follow-up with relevant stakeholders.
  • Maintain accurate and organised records, filing systems, documentation, and confidential business information.
  • Prepare and manage Excel trackers, reports, data sheets, and administrative records.
  • Act as a focal point for coordination between departments within Makani Real Estate.
  • Serve as the primary coordination point between Makani Real Estate and MAIR Group shared-service functions.
  • Follow up on business matters with Finance, Legal, HR, IT, Procurement, and other relevant departments.
  • Support the CEO in coordinating meetings, business priorities, internal communications, and key deliverables.
  • Represent Makani Real Estate in selected internal projects and cross-functional initiatives, including projects related to IT and operational improvements.
  • Coordinate the preparation and submission of approvals, supporting documents, and management updates.
  • Ensure that key business matters are properly documented, communicated, and followed through to completion.
  • Support the smooth day-to-day administration and operation of the CEO’s office.
  • Plan, organise, and coordinate annual gatherings, celebrations, and employee-engagement initiatives across Makani Real Estate.
  • Manage multiple priorities and urgent requests while maintaining accuracy, professionalism, and confidentiality.

Qualifications And Experience

  • Bachelor’s degree in Business Administration, Management, Office Administration, or a related field.
  • Minimum 5 years of experience in executive support, administration, office management, or a similar role.
  • Previous experience supporting a CEO, Managing Director, General Manager, or senior executive is highly preferred.
  • Fluency in both Arabic and English is mandatory, with strong written and verbal communication skills.
  • Strong proficiency in Microsoft PowerPoint, Excel, Word, Outlook, and other Microsoft Office applications.
  • Demonstrated experience preparing presentations, reports, memos, meeting minutes, and executive correspondence.
  • Strong experience in stakeholder coordination, action tracking, approval follow-up, and documentation management.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Experience within real estate, property management, investment, or a corporate group environment is preferred.
