Responsibilities
- Provide day to day executive and administrative support to senior management / the business owner
- Manage calendars, meetings, appointments, reminders, and daily schedules
- Coordinate calls, client meetings, viewings, and follow ups
- Meet and greet clients professionally and represent the business when required
- Act as a point of contact between the executive, clients, agents, service providers, and internal team members
- Prepare, organise, and maintain documents, records, contracts, forms, client information, and property related files
- Support with real estate administration, including property listings, client details, tenancy/sales documentation, and transaction coordination
- Assist with CRM updates, lead tracking, client follow ups, and maintaining accurate records
- Draft emails, letters, proposals, basic reports, and client communications
- Coordinate with agents, landlords, tenants, buyers, sellers, developers, and third party service providers where required
- Ensure all client communication is handled professionally, promptly, and accurately
- Support the team with ad hoc administrative, operational, and personal assistant tasks as needed
Requirements
- Previous experience as an Executive Assistant, Personal Assistant, Office Administrator, Real Estate Administrator, or similar role
- Real estate industry experience is preferred
- Strong administrative and organisational skills
- Confident, polished, and professional when dealing with clients
- Excellent communication skills in English, both written and verbal
- Strong email writing and follow up skills
- Ability to manage multiple tasks and priorities in a fast paced environment
- Good attention to detail and accuracy in documentation
- Comfortable working with CRM systems, Microsoft Office, Google Workspace, and general admin tools
- Ability to work independently, take initiative, and anticipate requirements
- Professional appearance and strong interpersonal skills
- UAE based experience is preferred

About the Role
- Our client is looking for a professional, organised, and client facing Executive Assistant / Real Estate Administrator to support a senior real estate professional with day to day administration, scheduling, client coordination, and business support.
- This role requires someone who is highly organised, proactive, well presented, and confident dealing with clients on behalf of the business.
- The ideal candidate will be able to manage standard executive assistant duties while also supporting real estate related administration, client meetings, property coordination, and follow ups.
- Previous experience within the real estate sector is preferred, particularly within a brokerage, property management company, developer, or real estate administration environment.

- UAE driving licence is an advantage but not mandatory.
