Job Description And Preferred Qualifications
KLA is seeking a highly organized and detail-oriented Sales Administrator to support our sales operations team and business units by managing customer orders, forecasts, reporting, and cross-functional coordination.
This role serves as a critical link between sales, operations, finance, logistics, and customers to ensure accurate order processing, timely communication, and seamless execution throughout the sales cycle.
The ideal candidate will have strong analytical skills, advanced Excel experience, and a proven ability to navigate complex situations while maintaining positive relationships with internal and external stakeholders.
Key Responsibilities
- Review and process customer purchase orders and sales contracts, ensuring all documentation meets required business criteria before entry into company systems.
- Manage sales order processing activities, including new orders, contract changes, returns, backlog management, and order maintenance.
- Create, update, and maintain sales forecasts within KLA systems, ensuring accuracy and alignment with business objectives.
- Partner closely with Account Managers to maintain current forecast data and communicate changes impacting business plans.
- Coordinate with Configuration Analysts to validate system configurations and enter orders into SAP accurately and within established timelines.
- Monitor daily and weekly forecast changes and communicate impacts to Account Managers, Division Planners, and other key stakeholders.
- Collaborate with Logistics, Planning, and Business Units to manage shipment schedules and communicate push/pull requirements.
- Generate standardized reports and perform basic business analysis to support Sales Directors and business leadership.
- Conduct quarterly reconciliations, including:
- Bookings data validation between SAP and internal systems.
- Review of shipping performance and on-time delivery metrics.
- Support Business Development Managers with inquiries related to order timing, contractual lead times, and customer commitments.
- Provide customer support as needed, serving as a professional point of contact for order status, delivery schedules, and issue resolution.
- Partner with Field Sales, Marketing, Finance, Trade Services, Planning, and Operations teams to ensure alignment and successful execution of sales activities.
- Participate in special projects and process improvement initiatives that enhance operational efficiency and reporting accuracy.
Required
- Minimum 5 years of experience in Sales Administration, Sales Support, Order Management, Business Operations, or a related function.
- Strong proficiency in Microsoft Excel, including data analysis, reporting, pivot tables, and reconciliation activities.
- Experience working with SAP, Salesforce, or similar CRM/ERP systems.
- Excellent numerical aptitude and analytical skills with a high level of accuracy.
- Exceptional attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Strong communication and interpersonal skills, including the ability to confidently handle difficult conversations and resolve issues professionally.
- Proven ability to collaborate across multiple business functions and organizational levels.
Preferred
- Experience leveraging Microsoft Copilot, AI-enabled productivity tools, or similar platforms to improve efficiency and reporting capabilities.
- Experience supporting sales organizations within a manufacturing, technology, semiconductor, or industrial environment.

Minimum Qualifications
- Bachelor's degree in Business Administration, Finance, Accounting, Supply Chain, Operations, Marketing, or a related field OR Equivalent combination of education and relevant experience
