Savills is looking for an organised and proactive Real Estate Administrator to support our Sales and Leasing team with the day-to-day running of operations.
This role is open to UAE Nationals only and is based in Sharjah, working Monday to Friday from 8:00am to 5:00pm.
The role will involve assisting with property listings, CRM management, documentation, client communication, and general administrative support, while ensuring compliance with Dubai Land Department and Trakheesi regulations.
The ideal candidate will have strong attention to detail, good organisational skills, and the ability to work efficiently in a fast-paced environment while supporting agents across the team.
Administrative And Technical Support
- Assist in the preparation and processing of property listings, ensuring accuracy and completeness.
- Includes listing Verification/True Check on property portals.
- Monitoring monthly credit usage on property portals.
- Adhere to the Trakheesi policies from online and listing permits.
- Manage documentation, including contracts and other relevant paperwork.
- Secures Dubai Land Department Forms/Contracts (Form A, Form B, Form I, Form U) using the Dubai Land Department portal.
- Assist and guide agents with CRM.
- Assist and support agents with general administrative tasks.
Database Management
- Maintain an organized and up-to-date client database and have a strong follow-up skills and lead management.
- Input and update property information, ensuring accuracy and consistency.
- Responsible for monitoring, aiding and supporting by preparation of leads and receiving daily feedback from the Real Estate Agents
- Provides a weekly and monthly listing reports.
Communication, Coordination & Organization
- Facilitate effective communication between clients, real estate agents, and other internal stakeholders.
- Coordinate with other departments to ensure seamless collaboration and information flow.
- Provide general administrative support to the sale team and have an excellent filing system in maintaining all the records.
- Responsible for receiving the transaction documents from the Sales/Leasing Agents.
- Handle incoming calls and inquiries, addressing customer needs and resolving issues to ensure customer satisfaction.
- Maintain a high level of confidentiality when dealing with sensitive customer information.
- Build and maintain strong relationships with co-workers to foster a positive and collaborative work environment.
Adherence To Regulations
- Ensure compliance with relevant real estate laws, regulations, and company policies
Event Support
- Assist in organizing and participating in promotional events and property exhibitions.
Skills, Knowledge And Experience
- Proven experience in real estate administration or a similar role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office suite and real estate management software.
- Knowledge of the Dubai residential property market is an advantage.
