Job Purpose

  • The Receptionist is responsible for providing a warm, professional, and seamless front desk experience to all clients.
  • The role supports daily branch operations by managing appointments, handling client inquiries, coordinating with service teams, and ensuring excellent service from arrival to departure.

Key Responsibilities

  • Welcome clients in a professional, friendly, and polished manner.
  • Assist clients with service inquiries, bookings, rescheduling, and cancellations.
  • Ensure clients are attended to promptly and guided to the correct service area.
  • Maintain a calm and positive front desk environment.
  • Manage daily appointments accurately using the booking system.
  • Coordinate with technicians, therapists, and branch team members to ensure smooth scheduling.
  • Monitor appointment flow and inform clients of any delays or changes.
  • Support walk in clients and maximize booking opportunities.
  • Answer phone calls, WhatsApp messages, and client inquiries professionally.
  • Provide accurate information about services, prices, promotions, and branch availability.
  • Follow up with clients when required for confirmations, reminders, or service updates.
  • Handle client concerns politely and escalate issues when needed.

Cashiering & Sales Support

  • Process client payments accurately through cash, card, or approved payment methods.
  • Issue receipts and ensure proper daily cash handling procedures are followed.
  • Promote services, packages, memberships, and retail products when appropriate.
  • Support the branch in achieving sales and client retention targets.

Branch Coordination & Administration

  • Maintain front desk cleanliness, organization, and professional presentation.
  • Prepare daily reports, client records, and operational updates as required.
  • Coordinate with the Branch Manager/Supervisor for client feedback, complaints, or urgent concerns.
  • Support inventory, supplies, and branch communication when needed.

Qualifications & Requirements

  • High school diploma or equivalent; hospitality, business, or customer service background is an advantage.
  • Previous experience as a Receptionist, Front Desk Associate, Customer Service Representative, or similar role is preferred.
  • Experience in salon, spa, beauty, wellness, hospitality, or retail industry is an advantage.
  • Strong communication and interpersonal skills.
  • Good computer skills and ability to use booking or POS systems.
  • Presentable, organized, and customer focused.
  • Able to work in a fast paced, client facing environment.
  • Flexible with shifts, weekends, and public holidays as required by business operations.
