Key Responsibilities

  • Greet and welcome visitors, and direct them to the appropriate person or department.
  • Manage the sign in process, issue visitor passes or badges, and maintain security logs.
  • Notify staff of visitor arrivals.
  • Answer, screen, and forward telephone calls, and take accurate messages.
  • Respond to in person, telephone, and email inquiries, providing information about the organization's activities and services.
  • Handle and resolve complaints from clients and the public in a courteous manner.
  • Manage appointments, reservations, and meeting room bookings.
  • Receive, sort, and distribute incoming and outgoing correspondence, mail, and deliveries.
  • Perform general clerical tasks such as word processing, data entry, filing, and photocopying.
  • Maintain a clean, organized, and professional reception area.
  • In a hospitality setting, duties may include check in/check out procedures, handling payments, and using up selling techniques.
  • Assist with event planning and coordination.
