- Manage timely and accurate processing of purchase requisitions, purchase orders, and procurement documentation
- Coordinate daily purchasing activities to ensure uninterrupted supply of goods, materials, and services
- Liaise with suppliers to obtain quotations, negotiate pricing and delivery schedules
- Maintain communication with department heads to ensure adequate inventory levels
- Review and reconcile purchase orders, invoices, and delivery notes, resolving discrepancies
- Monitor outstanding purchase orders and follow up with suppliers for timely deliveries
- Update procurement and inventory systems with accurate information
- Source and evaluate suppliers based on quality, pricing, service standards, and reliability
- Assist in maintaining approved supplier database and preferred vendor list
- Prepare purchasing reports, supplier performance evaluations, and procurement analyses
Requirements
- Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or related field
- 2 3 years of proven experience in purchasing, buying, or procurement operations within hospitality sector
- Ability to source suppliers, evaluate performance, and build long term vendor relationships
- Strong capability to negotiate pricing, delivery schedules, and payment terms
- Ability to conduct market research and analyze spending trends
- Professional certifications in supply chain management are highly advantageous

Job Description
- Manage the timely and accurate processing of purchase requisitions, purchase orders, and procurement related documentation.
- Coordinate daily purchasing activities to ensure the uninterrupted supply of goods, materials, and services required for hotel operations.
- Act as the primary point of contact for internal departments regarding purchasing requests, product availability, and procurement requirements.
- Liaise with suppliers and vendors to obtain quotations, negotiate pricing, delivery schedules, and ensure timely fulfillment of orders.
- Maintain effective communication with department heads to ensure inventory levels are adequate and operational needs are met.
- Review and reconcile purchase orders, invoices, and delivery notes, investigating and resolving any discrepancies.
- Monitor outstanding purchase orders and follow up with suppliers to ensure timely deliveries and minimize operational disruptions.
- Update procurement and inventory systems with accurate purchasing and delivery information.
- Source and evaluate suppliers based on quality, pricing, service standards, and reliability to support cost effective purchasing decisions.
- Assist in maintaining an approved supplier database and preferred vendor list in accordance with company procurement policies.
- Coordinate the movement and receipt of purchased goods, ensuring compliance with hotel standards and specifications.
- Prepare purchasing reports, supplier performance evaluations, and procurement analyses for management review.
Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
- 2–3 years of proven experience in purchasing, buying, or procurement operations within hospitality sector.
- Professional certifications in the supply chain management are highly advantageous.
- Ability to source suppliers, evaluate performance, and build long term vendor relationships.
- Strong capability to negotiate pricing, delivery schedules, and payment terms to drive cost efficiency.
- Ability to conduct market research and analyze spending trends to spot cost saving opportunities
