Overview
We are seeking a highly organized, reliable, and discreet Personal Assistant / Executive Secretary to provide comprehensive administrative and personal support to the Owner/Director.
The ideal candidate will be proactive, detail-oriented, and capable of managing both professional and personal tasks efficiently, including full coordination of local and international travel arrangements.
Key Responsibilities
- Manage and maintain the Director’s calendar, appointments, and meeting schedules.
- Screen and coordinate household staff, including housemaids (interviews, selection, and basic supervision).
- Plan, book, and manage all travel arrangements (flights, hotels, visas, transportation, and detailed itineraries).
- Handle daily correspondence including emails, phone calls, and messages.
- Act as a liaison between the Director and internal/external stakeholders.
- Prepare reports, presentations, documents, and meeting minutes.
- Maintain organized filing systems (both digital and physical).
- Monitor deadlines, track tasks, and ensure timely follow-ups.
- Assist with personal errands and ad hoc tasks as required.
- Maintain strict confidentiality of sensitive information.
- Accompany the Director during business trips or meetings when required.
