As we scale across markets, our Admin Office is looking for an exceptional Executive & Personal Assistant to support our Chief Executive Officer. This is a pivotal, high-trust role at the centre of a dynamic organisation, suited to a professional who takes genuine ownership and operates with precision. The role Reporting directly to the CEO, the Executive & Personal Assistant will provide comprehensive executive and personal support, ensuring the CEO's time, priorities and commitments are managed seamlessly across a fast-moving, multi-market business. This is not an administrative support role in the traditional sense. It is a role for a proactive, highly organised professional who anticipates needs, closes loops independently, and consistently delivers work to a high standard without close supervision. Key responsibilities Calendar and inbox management. Manage the CEO's calendar and correspondence with discretion and precision. Triage incoming communication, prioritise effectively, draft responses on the CEO's behalf, and coordinate scheduling across UK, EU, GCC and US time zones. Meeting coordination and follow-through. Prepare agendas and briefing materials ahead of meetings, capture decisions and actions, and track follow-ups through to completion. Ensure that commitments made in meetings are executed and nothing is left outstanding. Commitment and task tracking. Maintain a live overview of the CEO's open items, deadlines and dependencies. Anticipate potential issues and surface them early, before they escalate. Document preparation. Produce polished, professional and immediately usable documents, summaries and correspondence from brief instructions or notes, consistently reflecting the standards of the organisation. Travel and logistics. Arrange and coordinate all travel end-to-end; flights, accommodation, ground transport and detailed itineraries, accounting for time zones and appropriate scheduling buffers. Personal and lifestyle support. Manage personal appointments, errands, renewals and lifestyle coordination in Dubai, ensuring the CEO's time is protected and used effectively. Gatekeeping and prioritisation. Act as a trusted point of contact and filter, managing what reaches the CEO and independently handling or redirecting matters where appropriate. Requirements Proven experience as an Executive Assistant, Personal Assistant or Chief of Staff, ideally supporting a founder, CEO or senior executive Based in Dubai (or willing to relocate) and eligible to work in the UAE Excellent written and spoken English (additional languages advantageous) Proficiency with Google Workspace (Calendar, Gmail, Docs) and the ability to adopt new tools quickly Strong writing skills, with the ability to draft professional correspondence and documents Flexibility to support international time zones as required Desirable: Experience supporting a fast-scaling or international organisation Experience in a role blending executive and personal support A demonstrated ability to build and improve systems and processes What we offer A high-trust, high-impact role working directly with the CEO of a growing international group Exposure to how a multi-market business is built and scaled Genuine ownership, autonomy and the opportunity to grow with the organisation A competitive salary and benefits package, commensurate with experience
