The Role

  • Reporting directly to the CEO, the Executive & Personal Assistant will provide comprehensive executive and personal support.
  • This is a high trust role for a proactive, highly organised professional who anticipates needs and closes loops independently.

Key Responsibilities

  • Calendar and inbox management: manage CEO's calendar and correspondence, triage communication, draft responses, coordinate across time zones.
  • Meeting coordination and follow through: prepare agendas, capture decisions, track follow ups to completion.
  • Commitment and task tracking: maintain live overview of open items, deadlines, dependencies.
  • Document preparation: produce polished documents, summaries, correspondence from brief instructions.
  • Travel and logistics: arrange end to end travel including flights, accommodation, ground transport, itineraries.
  • Personal and lifestyle support: manage personal appointments, errands, renewals, lifestyle coordination.
  • Gatekeeping and prioritisation: act as trusted point of contact, filter and redirect matters appropriately.

Candidate Profile

  • Proactivity: identifies what needs to be done and acts independently.
  • Diligence and reliability: delivers consistently and follows through on every commitment.
  • Exceptional attention to detail: maintains accuracy and quality in every output.
  • Sound judgement: makes considered decisions, brings solutions, knows when to escalate.
  • Discretion and integrity: handles confidential matters with absolute professionalism.
  • Composure: remains calm and effective in a fast paced environment.
  • Clear communication: provides concise, specific, timely updates.

Requirements

  • Proven experience as an Executive Assistant, Personal Assistant or Chief of Staff, ideally supporting a founder, CEO or senior executive.
  • Based in Dubai (or willing to relocate) and eligible to work in the UAE.
  • Excellent written and spoken English (additional languages advantageous).
  • Proficiency with Google Workspace (Calendar, Gmail, Docs) and ability to adopt new tools quickly.
  • Strong writing skills, with ability to draft professional correspondence and documents.
  • Flexibility to support international time zones as required.
