A confidential company in Sharjah seeks a Personal Assistant to provide comprehensive administrative support to an Executive Board Member. Responsibilities include calendar management, travel arrangements, meeting coordination, and document preparation.

- Provide comprehensive administrative and secretarial support to the Executive Board Member
- Manage and coordinate calendars, appointments, and detailed travel arrangements
- Act as primary point of contact between the executive and internal/external stakeholders
- Organize and schedule meetings, prepare agendas, attend meetings, record minutes, and follow up on action items
- Prepare, draft, format, and proofread correspondence, presentations, reports, and official documents
- Screen and manage telephone calls and emails with professionalism and discretion
- Maintain organized physical and digital filing systems
- Liaise with internal departments and external partners to coordinate meetings and logistics
Requirements
- Experience in providing administrative and secretarial support to senior executives
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office and digital filing systems
- Ability to handle confidential information with discretion

Responsibilities
- Provide comprehensive administrative and secretarial support to the Executive Board Member.
- Manage and coordinate calendars, appointments, and detailed travel arrangements, including flights, visas, accommodation, and itineraries.
- Act as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication and follow ups.
- Organize and schedule meetings, prepare agendas, attend meetings, record accurate minutes, and ensure timely distribution and follow up on action items.
- Prepare, draft, format, and proofread correspondence, presentations, reports, and official documents, often of a highly confidential and sensitive nature.
- Screen and manage telephone calls and emails, handling inquiries with professionalism, discretion, and sound judgment.
- Prioritize tasks and manage sensitive information with the highest level of confidentiality.
- Maintain organized physical and digital filing systems, ensuring all records, reports, and documents are easily accessible.
- Liaise with internal departments and external partners to coordinate meetings, communications, and logistics.
- Perform other duties as assigned by the Executive Board Member, including but not limited to supporting Management Office activities.
