Responsibilities

  • Provide comprehensive administrative and secretarial support to the Executive Board Member.
  • Manage and coordinate calendars, appointments, and detailed travel arrangements, including flights, visas, accommodation, and itineraries.
  • Act as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication and follow ups.
  • Organize and schedule meetings, prepare agendas, attend meetings, record accurate minutes, and ensure timely distribution and follow up on action items.
  • Prepare, draft, format, and proofread correspondence, presentations, reports, and official documents, often of a highly confidential and sensitive nature.
  • Screen and manage telephone calls and emails, handling inquiries with professionalism, discretion, and sound judgment.
  • Prioritize tasks and manage sensitive information with the highest level of confidentiality.
  • Maintain organized physical and digital filing systems, ensuring all records, reports, and documents are easily accessible.
  • Liaise with internal departments and external partners to coordinate meetings, communications, and logistics.
  • Perform other duties as assigned by the Executive Board Member, including but not limited to supporting Management Office activities.
