Role Overview

The role supports Plan International's People and Culture department under the direct supervision of the Country Human Resources Manager.

The position provides recruitment, personnel administration, payroll, records and contract support.

Personnel and Payroll

  • Process insurance files, employment letters, insurance certificates and staff leave reports.
  • Process overtime, payroll for temporary employees and distribution of pay slips.
  • Create, update, archive and organize personnel records and HR correspondence.

Recruitment and Contracts

  • Coordinate recruitment and hiring with managers and maintain current job descriptions.
  • Support job advertising, interviews, interview reports, reference checks and employee-file preparation.
  • Coordinate onboarding, probation follow-up and employment confirmation letters.
  • Draft employment contracts, track signatures, file contracts and monitor contract expirations.

Safeguarding and Gender

  • Follow up on criminal-record checks, safeguarding inductions and required safeguarding training.
  • Cooperate with child-safeguarding investigations and follow up on allegations with relevant management and legal counsel.
  • Report suspected sexual harassment or gender-based violence through the appropriate organizational channels.

Emergency and Compliance

  • Remain available during emergencies and understand responsibilities under the Disaster Preparedness Plan.
  • Ensure activities comply with Plan International policies, procedures, safeguarding standards, gender equality requirements and inclusion principles.

Technical Qualifications

  • Diploma in administration or management; human resources management is preferred.
  • Two years of experience in a similar position.
  • Knowledge of Word, Excel and Access.
  • Fluency in French; English or Spanish is an advantage.
  • Knowledge of Haitian labor law and HR recruitment methods and procedures.

  • Strong listening, discretion, tact, organization, writing and interpersonal skills.
  • Ability to prioritize, manage time, coordinate multiple tasks, work under pressure and work outside regular hours when necessary.
