Role Overview

The Patient Admin Executive provides patient reception, registration, appointment, insurance, billing, payment, telephone, email, and back-office support in a hospital environment.

The role follows hospital policies, duty schedules, privacy requirements, infection-control standards, and patient-safety procedures.

Patient Administration

  • Greet patients, direct them to departments, and provide routine hospital information.
  • Handle telephone inquiries and route information to doctors or nurses for callbacks.
  • Manage appointment confirmations, rescheduling, and no-shows.
  • Register new patients and keep existing patient records current.
  • Check emails and respond to patient queries in a timely manner.
  • Handle patients, calls, cash, and back-office work according to the duty roster.

Insurance and Payments

  • Explain medical insurance coverage, verify eligibility, and collect payments or co-payments.
  • Provide claim forms for reimbursement requests.
  • Facilitate daily cash collection, card-slip processing, and cheque deposits.
  • Generate invoices and ensure services, dates, and codes are accurately recorded.
  • Issue bills and detailed statements for outstanding balances and explain payment options.
  • Collect co-pays, deductibles, and other outstanding balances and follow legal and insurance requirements.

Systems and Quality

  • Maintain working knowledge of the Hospital Information System, clinic schedules, doctor rosters, and booking procedures.
  • Ensure operations follow hospital policies and procedures and maintain a safe, clean reception area.
  • Handle complaints fairly, courteously, professionally, and with respect for privacy.
  • Participate in hospital training, quality assurance, and continuous quality improvement activities.
  • Maintain patient and staff confidentiality and comply with privacy regulations.
  • Follow infection-control, patient-safety, and JCI-related policies.

Qualifications and Requirements

  • A college diploma in any discipline or a related field is required.
  • Applicants must maintain accurate data and comply with privacy regulations.
  • Effective interpersonal skills and confidentiality are required.
  • Applicants must follow infection-control, patient-safety, and JCI-related regulations.
  • Applicants must be able to work different shift timings according to the assigned duty schedule.

Workplace

  • The role is based within hospital premises and is performed in person.
