Main Duties & Responsibilities
- Support the Community Director in implementing projects, policies, and strategic initiatives.
- Monitor financial performance of each community; prepare annual service charge budgets and coordinate with finance, budgeting teams, and auditors.
- Ensure full compliance with RERA, Dubai Government regulations, and Jointly Owned Property (JOP) Laws.
- Oversee end-to-end community and facility management for residential and retail components.
- Manage administrative functions through the team, including procurement, finance, and customer service.
- Deliver high-quality community management services in line with company standards.
- Represent the company professionally and maintain strong stakeholder relationships.
- Supervise building operations, asset management, emergency systems, and utilities.
- Monitor and audit FM service providers against KPIs; conduct regular inspections to ensure work meets specifications and standards.
- Lead bi-weekly and monthly meetings; review service provider reports and performance.
- Prepare monthly management reports and occupancy summaries; coordinate with the collections team to support service charge recovery.
- Facilitate Owners Committee meetings, prepare minutes, and ensure timely closure of action items in Mollak.
- Utilize systems such as Urbanize, Farvision, and Mollak for efficient operations and communication.
- Develop and maintain strategic relationships across master communities.
- Track and manage contract renewals, audits, invoicing, collections, events, and PPM schedules.
- Conduct regular inspections of common areas and enforce compliance with community rules.
- Maintain LPO trackers to ensure timely processing and closure.
- Drive cost-saving and sustainability initiatives to enhance community performance.
- Coordinate with marketing team for approved communication and newsletter to residents
- Coordinate community events in collaboration with the marketing team.
