About the Role
OnTheList is seeking an Operations Specialist to support the execution of flash sales events, including vendor management, sales reporting, and stock movement coordination. The role requires 3-5 years of experience in retail operations, ecommerce operations, or warehouse/fulfilment.

Responsibilities
- Independently plan and execute operational workflows for assigned flash sales events, including warehouse coordination, floor setup, event operation (offline and online)
- Coordinate logistics for offline events and multi brand activations, managing queue flow and on site operational issues
- Identify and resolve operational risks before and during sales/events to ensure smooth, incident free execution
- Monitor and report on operational performance metrics to identify areas for improvement
- Oversee accurate picking, packing, and dispatch of orders, minimizing errors and damage incidents
- Manage data uploads/downloads, file formatting, and system updates to ensure accuracy across platforms
- Maintain system vs. physical inventory accuracy, conducting regular reconciliation and stock counts
- Monitor and report on fulfilment error rates and post event inventory loss, driving continuous improvement
- Ensure warehouse processing and dispatch consistently meet agreed SLA timelines and cut off schedules
- Coordinate inbound and outbound stock transfers across UAE and regional warehouses, working closely with customs and third party logistics
- Manage operational and procurement budgets, ensuring spend stays within approved variance thresholds
- Negotiate with vendors and suppliers to identify cost saving opportunities without compromising service quality
Requirements
- 3 5 years of experience in Retail Operations, Ecommerce Operations, warehouse/fulfilment, supply chain role
- Arabic Speaker Preferred
- Proven experience in operations, logistics, or event execution—preferably in fashion, retail, or e commerce sectors
- Strong system literacy (e.g. Shopify, logistics system) and ability to troubleshoot both software and basic hardware issues
- Strong attention to detail and numbers
- Experience in a startup environment is preferred
- Strong communication skills and inter personal skills
- Ability to work and operate independently and collaboratively in a fast paced environment and solve problems in real time
- Flexible and hands on, with willingness to support on site event and warehouse operations as needed
- Proficient in MS Excel
- Professional communication skills in English (verbal and written), with confidence to liaise directly with external partners

Role Overview
- You will primarily support the execution of the flash sales events, including vendor management, sales reporting and stock movement coordination from/to our warehouses.
- You will also participate in offline events for floor space optimization and event operations support.
- The Operations Specialist will support the full execution of flash sales events, with responsibilities split between on site coordination and backend system support.
Operational Readiness & Sale/Event Preparation
- Independently plan and execute operational workflows for assigned flash sales events, including warehouse coordination, floor setup, event operation (offline and online).
- Coordinate logistics for offline events and multi brand activations, managing queue flow and on site operational issues.
- Identify and resolve operational risks before and during sales/events to ensure smooth, incident free execution.
- Monitor and report on operational performance metrics to identify areas for improvement.
Fulfilment Accuracy & Order Quality
- Oversee accurate picking, packing, and dispatch of orders, minimizing errors and damage incidents.
- Manage data uploads/downloads, file formatting, and system updates to ensure accuracy across platforms, including handling operational files, packing lists, and essential product documentation.
- Maintain system vs. physical inventory accuracy, conducting regular reconciliation and stock counts.
- Monitor and report on fulfilment error rates and post event inventory loss, driving continuous improvement.
Warehouse SLA & Timeliness
- Ensure warehouse processing and dispatch consistently meet agreed SLA timelines and cut off schedules.
- Track shipment to dispatch turnaround and proactively flag and resolve delays or missed cut offs.
- Escalate timeline risks early to minimize impact on customer experience and brand commitments.
- Coordinate inbound and outbound stock transfers across UAE and regional warehouses, working closely with customs and third party logistics to ensure timely, accurate, and compliant movements.
- Work from the warehouse location 1 day per week.
Cost Control & Procurement Discipline
- Manage operational and procurement budgets, ensuring spend stays within approved variance thresholds.
- Negotiate with vendors and suppliers to identify cost saving opportunities without compromising service quality.
- Plan procurement timelines proactively to minimize reliance on costly emergency purchases.
What It Takes
- 3 5 years of experience in Retail Operations, Ecommerce Operations, warehouse/fulfilment, supply chain role.
- Arabic Speaker Preferred.
