Position Overview

  • Position: Operations Coordinator
  • Industry: Facility Management / Cleaning Services
  • The Operations Coordinator is responsible for supporting the daily operations of the Facility Management division.

Key Responsibilities Operations Coordination

  • Coordinate the daily deployment of cleaners, technicians, drivers, and supervisors to client locations.
  • Prepare and manage staff schedules, shift plans, and manpower allocation.
  • Monitor daily attendance, absences, overtime, and workforce availability.
  • Ensure all scheduled jobs are completed within the agreed timelines and company standards.
  • Coordinate emergency call outs and urgent client requests.
  • Follow up with site teams to ensure work completion and service quality.
  • Monitor operational performance and escalate issues requiring management attention.

Client Communication & Customer Service

  • Act as the main point of contact for clients regarding daily operational matters.
  • Receive, coordinate, and follow up on service requests, complaints, and inquiries.
  • Maintain regular communication with clients to ensure satisfaction.
  • Provide clients with updates on work progress, schedules, manpower deployment, and service completion.
  • Coordinate with clients for access permits, work schedules, and special operational requirements.
  • Ensure all client concerns are acknowledged promptly and resolved within agreed service levels.
  • Build and maintain strong professional relationships with clients.

Administrative & Reporting

  • Prepare daily, weekly, and monthly operational reports.
  • Maintain accurate records of work orders, service requests, attendance, overtime, and site activities.
  • Update operational trackers and ensure all documentation is complete and organized.
  • Coordinate with Procurement or Stores for cleaning materials, equipment, and PPE requirements.

Compliance & Quality

  • Ensure operational activities comply with company policies and client requirements.
  • Assist in implementing quality control procedures and site inspections.
  • Ensure employees follow health, safety, and company regulations.
  • Support continuous improvement initiatives.

Required Skills

  • Excellent verbal and written communication skills.
  • Strong client relationship management abilities.
  • Excellent organizational and multitasking skills.
  • Ability to prioritize work in a fast paced environment.
  • Strong problem solving and decision making skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with ERP, CAFM, or operational management systems is an advantage.
  • Strong reporting and documentation skills.
  • Ability to coordinate multiple sites and teams simultaneously.
  • Customer focused attitude with excellent follow up skills.
