Responsibilities
- Arrange, organize, and control various aspects of general administration to meet GCAA needs
- Allocate offices and spaces, and support staff relocation procedures
- Manage administration expenses and petty cash, coordinate with finance for reimbursement
- Control incoming and outgoing correspondence and communication (telephone, faxes, posts, emails)
- Coordinate efforts to arrange GCAA events following proper protocols
- Support visa procedures at all stages to ensure timely issuance or cancellation
- Carry out administration of drivers schedule and GCAA vehicles (registration, renewals, insurance, allocation, maintenance, accident reporting, traffic violations, transport requests, vehicle allowances)
- Proceed with reservation and monitor travel and hotel bookings within UAE for joining employees, visitors, and official missions
Requirements
- Experience in general administration, office management, or related field
- Ability to coordinate visa procedures and liaise with Public Relations Officers
- Experience in vehicle administration including registration, insurance, and maintenance
- Skills in event management and protocol
- Proficiency in managing travel and hotel bookings

General Administration
- Arrange, organise, and control various aspects of the general administration in order effectively meet GCAA needs.
- Help in allocating necessary offices and spaces whenever required, ultimately support the organisation staff with their relocations procedures.
- Look after the administration expenses and petty cash and coordinate with finance for the proper reimbursement as per GCAA policies and procedures.
- Help in undertaking the proper procedures to control the GCAA incoming and outcoming correspondences and communication such as the inbound/outbound telephone, faxes, general posts, emails etc.
- Coordinate efforts in order to arrange for GCAA Events management following the proper protocols.
Visas
- Support in co ordination visa procedures at all stages to ensure timely issuance or cancellation; ensure effective and timely liaison with Public Relations Officers (AUH and DXB) in compliance with HR and Finance policies and to meet business requirements.
Vehicles
- Carry out the administration and activities relating to drivers schedule as well as GCAA vehicles in terms of registration, renewals, insurance, allocation, maintenance, accident reporting, traffic violations, transport requests, and vehicle allowances.
Events and Travel
- Proceed with reservation, and monitor all travel and hotel bookings requirements (within UAE) effectively to include arrangements for joining employees, visitors, and official missions.
