Role Overview

  • Eternell Clinic is seeking a professional, well presented, and customer focused Receptionist with previous experience in a dermatology, aesthetics, cosmetic, or medical clinic.
  • The Receptionist will be the first point of contact for patients and will be responsible for delivering an excellent patient experience.

Key Responsibilities

  • Welcome patients and visitors in a professional, friendly, and courteous manner.
  • Manage patient appointments, confirmations, rescheduling, cancellations, and follow ups.
  • Respond promptly to telephone calls, WhatsApp messages, emails, and social media enquiries.
  • Provide accurate information about dermatology and aesthetic treatments, packages, pricing, and clinic policies.
  • Coordinate patient flow with dermatologists, aesthetic doctors, nurses, therapists, and other clinic staff.
  • Register new patients and maintain accurate, confidential patient records.
  • Process payments, issue receipts, and support daily cash and card reconciliation.
  • Follow up with leads and enquiries to support appointment conversions and clinic sales targets.
  • Inform patients about relevant treatments, promotions, packages, and membership options without providing medical advice.
  • Handle patient concerns and complaints professionally and escalate matters when necessary.
  • Maintain a clean, organised, and presentable reception and waiting area.
  • Ensure compliance with clinic procedures, patient confidentiality requirements, and applicable healthcare regulations.

Candidate Requirements

  • Previous receptionist or front desk experience in a dermatology, aesthetics, cosmetic, laser, plastic surgery, or medical clinic is mandatory.
  • Good understanding of aesthetic and dermatology services, such as laser treatments, facials, injectables, skin treatments, and consultations.
  • Excellent verbal and written communication skills.
  • Strong customer service and patient handling skills.
  • Professional appearance, grooming, and telephone etiquette.
  • Ability to manage multiple appointments, enquiries, and priorities in a busy clinic environment.
  • Comfortable using clinic management systems, appointment booking software, email, Microsoft Office, and WhatsApp Business.
  • Strong attention to detail, organisation, and confidentiality.
  • Sales oriented mindset with the ability to convert enquiries into confirmed appointments.
  • Ability to work flexible shifts, including evenings, weekends, and public holidays.

Preferred Qualifications

  • Experience working in a premium or luxury aesthetics clinic.
  • Knowledge of medical insurance processes is an advantage.
  • Fluency in English is required; Arabic or another language is an advantage.

Working Conditions

  • This is a full time, on site position.
  • The clinic operates seven days a week, and the successful candidate must be available to work on a rotating roster, with weekly rest days provided.
