Responsibilities
- Maintain accurate records of all daily financial transactions
- Record clinic income, expenses, purchases, payments, and receipts in the accounting system
- Manage petty cash and maintain proper supporting documentation
- Prepare daily, weekly, and monthly revenue and expense reports
- Reconcile cash, card, bank transfer, payment gateway, insurance, Tabby, and other collections
- Conduct regular bank reconciliations and identify discrepancies
- Prepare invoices, payment vouchers, receipt vouchers, credit notes, and debit notes
- Monitor accounts receivable and follow up on outstanding payments
- Maintain accounts payable records and coordinate vendor payments
- Assist in preparing monthly profit and loss statements, cash flow reports, budgets, and management reports
- Coordinate with external accountants, auditors, tax consultants, and financial advisors when required
- Verify daily patient billing and ensure accurate invoicing
Requirements
- Previous experience in a clinic, hospital, healthcare facility, aesthetic clinic, wellness centre, or medical organization preferred
- Practical knowledge of bookkeeping, invoicing, bank reconciliation, accounts payable, accounts receivable, and petty cash management
- Basic knowledge of UAE VAT and financial documentation requirements
- Proficiency in Microsoft Excel, Microsoft Office, and accounting software
- Experience with Tally, QuickBooks, Zoho Books, Xero, or similar accounting software is an advantage
- Strong written and verbal communication skills in English

Role Overview
- The Accounts & Administration Executive will be responsible for managing the day to day accounting, financial documentation, administrative coordination, procurement support, and operational record keeping of Eternell Clinic.
- The role requires a highly organized, detail oriented, and responsible professional who can maintain accurate financial records, coordinate with internal departments and external vendors, support clinic operations, and ensure that all administrative and financial processes are completed efficiently
Key Responsibilities
- Accounting and Financial Management: Maintain accurate records of all daily financial transactions; record clinic income, expenses, purchases, payments, and receipts; manage petty cash; prepare revenue and expense reports; reconcile collections; conduct bank reconciliations; prepare invoices and vou
- Clinic Revenue and Billing Control: Verify daily patient billing; reconcile treatment records, invoices, and payments; monitor discounts and adjustments; maintain records of patient packages and advance payments; prepare daily closing reports; monitor revenue performance.
- VAT and Regulatory Documentation: Maintain VAT compliant invoices and financial records; assist in preparing VAT working files; ensure proper filing of accounting and tax records; coordinate with management and external consultants.
- Procurement and Vendor Coordination: Obtain quotations; raise purchase requests and orders; coordinate purchase of supplies; verify supplier invoices; maintain vendor records; negotiate prices and terms.
- Inventory and Stock Control: Maintain updated records of clinic consumables and supplies; coordinate physical stock verification; monitor stock levels; track stock movements; investigate discrepancies.
- Administrative Management: Manage day to day administrative activities; maintain filing systems; prepare documents; track licenses and contracts; coordinate office maintenance and facility requirements.
- Human Resources Administration Support: Maintain employee files and attendance records; collect onboarding documents; coordinate with HR; prepare payroll input reports; support onboarding and offboarding.
- Reporting and Management Support: Prepare daily collection and expense reports; weekly AR/AP reports; monthly management reports; maintain trackers; provide financial information to management; support budgeting and cost control.
Required Qualifications
- Previous experience in a clinic, hospital, healthcare facility, aesthetic clinic, wellness centre, or medical organization is preferred.
- Practical knowledge of bookkeeping, invoicing, bank reconciliation, accounts payable, accounts receivable, and petty cash management.

Working Conditions
- The position is based at Eternell Clinic, Jumeirah 1, Dubai.
- The candidate may be required to work according to the clinic’s operational schedule, including weekends or public holidays, as per the assigned duty roster.
- Flexibility may be required during month end closing, audits, inspections, procurement requirements, or urgent clinic operations.
