Responsibilities
- Assist in daily operations and ensure implementation of approved procedures
- Prepare and follow up on the daily schedule of the department manager
- Coordinate and organize internal and external meetings and prepare related documents
- Draft minutes of meetings and follow up on implementation of decisions
- Manage incoming and outgoing documents according to procedures
- Organize and archive paper and electronic files efficiently
- Participate in implementing department activities, events, and projects
- Assist in preparing periodic and annual reports and presentations
- Receive and accompany visitors, guide them to library facilities and services
- Provide information assistance to visitors in searching catalogs and databases
- Manage book lending and return processes and resolve daily user issues
- Conduct daily inspection rounds of library halls to ensure cleanliness and book arrangement

Job Description
- المساعدة في الأعمال اليومية والتأكد من تطبيق الإجراءات والعمليات المعتمدة.
- إعداد ومتابعة الجدول اليومي لمدير الإدارة.
- الإعداد والتنسيق والتنظيم لجميع الاجتماعات الداخلية والخارجية وإعداد جميع الوثائق والمستندات ذات الصلة.
- صياغة محاضر الاجتماعات الداخلية والخارجية ومتابعة تنفيذ جميع القرارات الصادرة كما هو مطلوب.
- إدارة الوثائق الواردة والصادرة من وإلى الادارة بحسب الإجراءات والنظم المتبعة في الهيئة.
- تنظيم الملفات الورقية والإلكترونية وأرشفتها والمحافظة عليها بكفاءة وفعالية.
- المشاركة في تنفيذ أنشطة وفعاليات ومشاريع الإدارة.
- المساعدة في إعداد التقارير الدورية والسنوية والعروض التقديمية للإدارة عن الإنجازات والمعوقات والاقتراحات التحسينية حسب التوجيهات.
- استقبال ومرافقة الزوار وارشادهم الى المرافق والمقتنيات وخدمات وأنشطة وفعاليات المكتبة وتقديم كافة المعلومات اللازمة.
- تقديم المساعدة والإرشاد المعلوماتي للزوار في البحث ضمن فهارس وقواعد البيانات .
- إدارة عمليات اعارة الكتب و استردادها ومتابعة الالتزام بالمدد المحددة، وحل المشاكل اليومية للمتعاملين.
- أعمال الجرد السنوي للكتب وأعمال التعشيب واستلام كتب الاهداء والتجليد.
