Reporting to the Lead Admin, Lloyd Thermal Conventional Heavy Oil (LTCHO), the Integrated Operations Administrative Assistant provides essential administrative support to leaders and teams within the Integrated Operations function. This role is responsible for coordinating day-to-day administrative activities, supporting team initiatives and projects, and helping ensure information, schedules, and priorities are organized and managed effectively. The successful candidate will be highly organized, detail-oriented, collaborative, and able to manage multiple priorities while maintaining confidentiality and professionalism in a fast-paced operational environment.

This is a full-time employee position.
Provide day-to-day administrative support to leaders and teams within Integrated Operations, ensuring priorities and activities are well organized and effectively coordinated.
Manage calendars, schedule meetings, coordinate agendas, prepare meeting materials, record minutes, and track action items to completion.
Coordinate travel arrangements, logistics, and related documentation in accordance with company processes.
Review and verify invoices: identify and investigate billing discrepancies; coordinate approvals; and support accurate cost management.
Prepare, maintain, and distribute reports, presentations, correspondence, and other departmental communications with a high level of accuracy and attention to detail.
Maintain organized and accurate records, files, and departmental documentation while ensuring confidentiality and appropriate document control.
Support onboarding, team events, projects, and other initiatives by coordinating logistics, monitoring timelines, and ensuring timely follow-up.

Our ideal candidate will have the following minimum requirements:
Legally authorized to work in Canada
Minimum high school diploma required; post-secondary education in Business Administration, Office Administration, Management, or a related field is preferred. An equivalent combination of education and relevant experience will be considered.
Minimum 2 years of progressive administrative support experience, preferably within the oil and gas industry or an operations, maintenance, or engineering environment.
Advanced proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams; SharePoint experience is considered an asset.
Strong understanding of administrative and business support processes, including invoice coding, financial tracking, approval workflows, records management, document control, and reporting.
Experience supporting Operations, Maintenance, or Engineering teams, including coordinating meetings, travel, onboarding activities, events, and action item follow-up.
