Job Description

  • Parsons is looking for an amazingly talented Head, Coordination and Document Control to join our team in Qatar!
  • In this role, you will lead the development, implementation, and continuous improvement of document control systems and coordination processes.

What You’ll Be Doing

  • Developing and implementing an efficient document control system to facilitate document management, archiving, and retrieval processes.
  • Leading and coordinating the safekeeping of all departmental documentation.
  • Reviewing existing document control policies and procedures and performing gap analyses to identify areas for improvement.
  • Recommending, designing, and implementing advanced systems and processes to enhance the document control infrastructure.
  • Conducting regular file validation audits to ensure compliance with quality and regulatory standards.
  • Ensuring strict adherence to internal operating procedures for document submission, retention, destruction timelines, and regulatory compliance.
  • Ensuring compliance with internal document naming conventions and standards.
  • Ensuring that incoming and outgoing mail is logged and that related actions are followed up in a timely manner.
  • Facilitating effective communication between internal teams and external stakeholders.
  • Monitoring progress on action plans across relevant departments.
  • Developing comprehensive status reports on ongoing applications, projects, and document control performance metrics for senior management review.
  • Performing other duties and responsibilities as needed.

What Required Skills You’ll Bring

  • Bachelor’s Degree in Information Management, Business Administration, or a related discipline.
  • Minimum 7 years of relevant experience in document control and coordination, including experience in leading a team.
  • Experience with Integrated Workplace Management Systems (IWMS) or equivalent platforms.
  • Understanding of building permit processes and related documentation workflows.
  • Proficiency in relevant software and applications such as MS Office (with advanced Excel), Adobe, and EDMS solutions.
  • General knowledge of real estate or facilities management operations.

  • Excellent written and verbal communication skills; Arabic language skills are an advantage.
  • Excellent time management and organizational skills.
  • Ability to work under pressure while maintaining a high level of accuracy, quality, and work ethics.
  • Strong attention to detail and a structured, process oriented working style.
  • Ability to work collaboratively with multidisciplinary teams and stakeholders.
