The role of the Projects Administration Assistant is to:
Provide comprehensive administrative support across multiple ICT and digital health projects, ensuring project activities are coordinated efficiently and effectively.
Coordinate governance and committee activities, including preparing agendas, distributing meeting papers, taking minutes, tracking actions, and supporting follow-up activities.
Assist in the preparation, formatting, and maintenance of project documentation, reports, presentations, correspondence, and project records to a professional standard.
Maintain project support systems, registers, filing systems, SharePoint sites, and administrative processes to ensure accurate records and effective information management.
Liaise with executives, project teams, clinicians, technical staff, and external stakeholders to facilitate communication, engagement activities, and project delivery objectives.
Contribute to continuous improvement initiatives, project administration processes, team activities, and achievement of organisational performance targets.
Ideal candidates for this role will have:
Experienced administration professional with strong organisational skills and a proven ability to manage multiple priorities in a fast-paced environment.
Highly proficient in Microsoft Office applications, particularly Word, PowerPoint, Teams, SharePoint, and Excel.
Demonstrated experience supporting meetings and committees, including agenda preparation, minute taking, action tracking, and document management.
Excellent written and verbal communication skills, with the ability to prepare professional reports, correspondence, presentations, and project documentation.
Strong stakeholder engagement skills with the ability to work effectively with executives, clinicians, technical teams, and external partners.
A collaborative and detail-oriented team player who is committed to continuous improvement, professionalism, and supporting the successful delivery of complex projects.
