Job Purpose
- Handle the front desk reception area as the first point of contact for the Company.
- Serve visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival.
- Provide administrative and clerical services to ensure efficient and timely operations.
- Manage switchboard and distributing mail/post.
Job Responsibilities
- Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries in a courteous manner by maintaining employee and department directories.
- Inform other employees of visitors’ arrivals or cancellations.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
- Provide basic and accurate information in-person and via phone/email.
- Sort and distribute post/courier/deliveries on timely basis.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges etc..).
- Contribute to team effort by accomplishing related results as needed.
- Manage office assistants as required.
- Manage switchboard by answering incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary.
- Liaise with Vendors for purchase of items/ requesting Quotations.
- Coordinate with purchasing team for the supply of ordered items and follow up on PO's.
- Communicate with Finance team for on time payment of vendor invoices.
- Follow up with different vendors (such as stationary, grocery, flowers etc.)
Education
- High School Diploma or equivalent
- Minimum 1 – 3 Year’s relevant Experience
