Job Purpose

  • Handle the front desk reception area as the first point of contact for the Company.
  • Serve visitors by greeting, welcoming, and directing them appropriately; notify company personnel of visitor arrival.
  • Provide administrative and clerical services to ensure efficient and timely operations.
  • Manage switchboard and distributing mail/post.

Job Responsibilities

  • Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries in a courteous manner by maintaining employee and department directories.
  • Inform other employees of visitors’ arrivals or cancellations.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Sort and distribute post/courier/deliveries on timely basis.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges etc..).
  • Contribute to team effort by accomplishing related results as needed.
  • Manage office assistants as required.
  • Manage switchboard by answering incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary.
  • Liaise with Vendors for purchase of items/ requesting Quotations.
  • Coordinate with purchasing team for the supply of ordered items and follow up on PO's.
  • Communicate with Finance team for on time payment of vendor invoices.
  • Follow up with different vendors (such as stationary, grocery, flowers etc.)

Education

  • High School Diploma or equivalent
  • Minimum 1 – 3 Year’s relevant Experience
