The Role
The Facilities Assistant provides day-to-day operational and administrative support for safe, compliant, well-maintained company premises.
The role supports the Facilities Manager with maintenance, contractors, health and safety, workplace services, inspections, and facilities administration.
Duties and Responsibilities
- Support the operation, maintenance, safety, and security of office facilities and workplace services.
- Conduct workplace inspections, report defects and hazards, and monitor corrective actions.
- Raise, track, and close work orders while coordinating contractors and service providers.
- Maintain maintenance schedules, service records, contractor documents, asset records, and reporting information.
- Support health and safety, fire safety, emergency preparedness, evacuation drills, and business continuity activities.
- Coordinate office moves, workspace changes, meeting room setups, deliveries, cleaning, waste management, and other workplace services.
- Monitor office supplies, furniture, fixtures, equipment, and shared facilities.
- Support access control, visitor management, key and access card administration, and security concern reporting.
- Assist with purchase orders, invoices, quotations, budget tracking, and supplier management.
- Respond professionally to employee facilities-related requests and issues.
