Job Purpose

The Executive Secretary provides high-level administrative and executive support to the Office of the President/Provost.

The role manages executive schedules and correspondence, coordinates meetings and official engagements, and supports institutional initiatives.

The position requires professionalism, discretion, confidentiality, organization, and effectiveness in a higher education environment.

Qualifications and Experience

  • A bachelor’s or master’s degree in Business Administration, Management, Public Administration, or a related field is required.
  • Four to seven years of relevant administrative or executive support experience is required.
  • Previous higher education or university experience is essential.
  • Experience supporting a senior executive is highly preferred.
  • Experience managing confidential information, correspondence, meetings, calendars, and official engagements is required.

Skills and Competencies

  • Fluency in Arabic and English with excellent written and verbal communication skills is mandatory.
  • The role requires organization, time management, multitasking, professionalism, discretion, confidentiality, integrity, and attention to detail.
  • The role requires knowledge of administrative procedures, university protocols, higher education environments, and Microsoft Office.
  • The position requires independent work, prioritization of competing demands, problem solving, coordination, and timely follow-up.

Executive Office Responsibilities

  • Manage the President’s or Provost’s calendar, appointments, official engagements, and travel arrangements.
  • Screen and prioritize correspondence and escalate urgent or critical matters.
  • Draft, review, translate, and edit executive documents in Arabic and English.
  • Review sensitive Arabic documents for accuracy, quality, and consistency.
  • Organize executive meetings, agendas, materials, invitations, logistics, and follow-up actions.
  • Coordinate official visits, VIP meetings, institutional engagements, events, ceremonies, and delegations.
  • Serve as a professional contact for internal departments, government entities, partners, officials, and external stakeholders.
  • Support executive directives, strategic initiatives, projects, decisions, and action tracking.
  • Maintain confidential records and prepare briefing documents, minutes, reports, and action trackers.
