Overview
We are seeking a highly experienced and professional **Executive Secretary** to provide comprehensive administrative and executive support to the Vice Chairman.
The ideal candidate will have extensive experience in the **construction and engineering consultancy sector**, with the ability to manage executive-level correspondence, coordination, and confidential matters efficiently.
Key Responsibilities
- Provide full secretarial and administrative support to the Vice Chairman.
- Manage and maintain the Vice Chairman's calendar, appointments, meetings, and travel arrangements.
- Prepare, draft, review, and manage correspondence, reports, presentations, and official documents.
- Organize and coordinate meetings, including preparing agendas, recording minutes, and following up on action items.
- Liaise with clients, consultants, contractors, government authorities, and internal departments on behalf of the Vice Chairman.
- Maintain confidential records, files, contracts, and corporate documentation.
- Monitor and follow up on key projects, deadlines, and executive directives.
- Screen and prioritize incoming communications, emails, and telephone calls.
- Coordinate executive visits, events, and business functions as required.
- Ensure professional handling of sensitive and confidential information at all times.
Qualifications & Experience
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum **5–10 years of experience** as an Executive Secretary, Executive Assistant, or Personal Assistant supporting senior executives.
- Proven experience within the **construction, engineering consultancy, project management, or contracting industry**.
- Strong understanding of business correspondence, document control, and executive office operations.
- Excellent organizational, planning, and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience preparing professional reports, presentations, and meeting minutes.
Skills & Competencies
- Excellent verbal and written communication skills in **Arabic and English**.
- Strong interpersonal and stakeholder management skills.
- High level of professionalism, discretion, and confidentiality.
- Ability to work under pressure and manage multiple priorities.
- Strong attention to detail and problem-solving skills.
- Self-motivated, proactive, and capable of working independently.
Preferred Requirements
- **Male Arab candidate preferred.**
- Experience supporting C-level executives, board members, or company owners.
- Immediate availability or ability to join on short notice.
