Job Summary

  • The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the office.
  • The role requires excellent organizational, communication, and multitasking skills, with fluency in both Arabic and English to effectively support internal departments, management, clients, and external stakeholders.

Key Responsibilities

  • Provide administrative and secretarial support to management and various departments.
  • Prepare, draft, translate, and proofread correspondence, reports, presentations, and other business documents in both Arabic and English.
  • Answer and direct telephone calls, emails, and visitor inquiries professionally.
  • Schedule appointments, meetings, and conference room bookings.
  • Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
  • Maintain filing systems, records, and confidential documents in both electronic and physical formats.
  • Coordinate office supplies, stationery, and administrative requirements.
  • Assist in travel arrangements, including flight bookings, hotel reservations, and transportation when required.
  • Liaise with government entities, suppliers, clients, and service providers as needed.
  • Support document processing, permit applications, and official correspondence when required.
  • Assist in organizing company events, meetings, and employee activities.
  • Ensure office areas are organized and administrative procedures are followed.

Skills and Competencies

  • Fluency in both Arabic and English (spoken and written) is required.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • High level of professionalism and confidentiality.
  • Ability to prioritize multiple tasks and work under pressure.
  • Strong attention to detail and accuracy.
  • Excellent interpersonal and customer service skills.
  • Ability to work independently and collaboratively within a team.

Technical Skills

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience using office equipment and document management systems.
  • Familiarity with ERP systems is an advantage.
