- Manage the calendar, appointments, meetings, and daily schedule
- Prepare meeting agendas and record meeting minutes
- Follow up on assigned tasks and ensure timely completion
- Coordinate priorities and assist with daily business operations
- Monitor ongoing projects across the UAE
- Collect daily updates from engineers and site supervisors
- Track project progress, deadlines, and customer commitments
- Coordinate with technical, procurement, and administrative teams
- Support scheduling of technicians and service visits
- Respond professionally to customer emails, phone calls, and WhatsApp messages
- Schedule customer meetings and site visits
- Provide project progress updates
Requirements
- Minimum 1 year of experience as an Executive Assistant, Operations Coordinator, Office Administrator, Project Coordinator, or similar role
- Excellent English communication skills (written and spoken)
- Arabic language skills are an advantage
- Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
- Excellent computer literacy and typing skills
- Strong organizational and time management abilities
- Ability to manage multiple tasks and priorities simultaneously
- High attention to detail and accuracy
- Ability to work independently with minimal supervision

- We are looking for a highly organized, proactive, and dependable Executive Assistant / Operations Coordinator to support our management in managing daily business operations, project coordination, customer communication, and administrative activities.
Key Responsibilities
- Manage the calendar, appointments, meetings, and daily schedule.
- Prepare meeting agendas and record meeting minutes.
- Follow up on assigned tasks and ensure timely completion.
