- Manage calendars, schedule meetings, organize travel, and prepare agendas and follow ups.
- Handle expense reports, track payments, and maintain accurate records of executive activities and commitments.
- Coordinate internal and external communications, screen and prioritize inquiries, and ensure timely responses to stakeholders.
- Prepare presentations and documents, organize files and information, support meeting logistics.
- Proactively identify ways to streamline workflows and protect the Co founders’ time.
Requirements
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and stakeholder liaison.
- Proficiency in managing Expense Reports and basic financial tracking to support accurate documentation and timely processing.
- Excellent Communication skills, with the ability to interact professionally across cultures and levels, both verbally and in writing.
- Solid Administrative Assistance skills, including document preparation, data organization, and managing digital and physical filing systems.
- Experience supporting senior leadership or founders in a fast paced, high growth or startup environment.
- High level of discretion, integrity, and ability to handle confidential information.
- Strong organizational and time management abilities, with attention to detail and follow through.
- Comfort with productivity tools and collaboration platforms (e.g., Google Workspace or Microsoft 365, task/project management tools).
- Fluency in English; additional language skills are an advantage.
- Relevant diploma or degree in Business

Role Description
- This is a full time, hybrid role based in Dubai, with flexibility for partial work from home.
- The Executive Assistant will provide comprehensive support to two Co founders, managing calendars, scheduling meetings, organizing travel, and preparing agendas and follow ups.
- The role includes handling expense reports, tracking payments, and maintaining accurate records of executive activities and commitments.
- The Executive Assistant will coordinate internal and external communications, screen and prioritize inquiries, and ensure timely responses to stakeholders.
- Day to day responsibilities also include preparing presentations and documents, organizing files and information, supporting meeting logistics, and proactively identifying ways to streamline workflows and protect the Co founders’ time.
