Role Overview

  • Join us as an Executive Assistant in our newly established team based in Riyadh.
  • Provide proactive, high level administrative, organisational, and logistical support to the CEO and Head of Investment Banking Saudi Arabia and the wider Saudi team.

What You Will Be Doing

  • Calendar Management: plan, coordinate, and manage complex diaries.
  • Travel & Logistics: arrange flights, visas, accommodation, and ground transportation.
  • Meeting Support & Coordination: manage internal meetings and client meetings.
  • Systems & Tools: maintain client details in Outlook and internal portals.
  • Event Management: support client events, conferences, and roadshows.
  • Expense Management: process and reconcile expense claims.
  • Stakeholder support team Management: coordinate logistics for visiting Senior Executives.
  • Team Support: provide broader administrative support including onboarding new joiners.
  • Day to Day & Ad Hoc Support: handle ad hoc tasks from CEO and broader team.

Essential Skills/Basic Qualifications

  • Proven experience supporting senior executives in a large and matrixed organisation.
  • Strong organisational skills, with ability to prioritise, multi task, and deliver to tight deadlines.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism when handling confidential information.
  • Strong attention to detail and problem solving abilities.
  • Both written and spoken proficiency in English and Arabic.

Desirable Skills/Preferred Qualifications

  • Previous experience working as an Executive Assistant within Financial Services.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).

Purpose of the Role

  • To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed.

Accountabilities

  • Management of senior executive members calendars.
  • Planning and arranging travel itineraries.
  • Proactively anticipating needs of senior executive.
  • Management of day to day administrative tasks.
  • Management and facilitation of senior executive members meetings.

Analyst Expectations

  • Perform prescribed activities in a timely manner.
  • Requires in depth technical knowledge and experience.
  • Lead and supervise a team (if leadership responsibilities).
  • Develop technical expertise in work area.
  • Partner with other functions and business areas.
  • Take responsibility for end results of a team’s operational processing.
  • Escalate breaches of policies/procedure appropriately.
  • Take ownership for managing risk and strengthening controls.
