Position Summary

  • The Executive Assistant serves as a strategic partner to the CEO, providing high level administrative, secretarial, operational, and personal support.
  • This role requires exceptional organizational skills, discretion, initiative, and the ability to anticipate needs while managing multiple responsibilities in a fast paced environment.
  • The Executive Assistant acts as the primary point of contact between the CEO and internal/external stakeholders.

Key Responsibilities

  • Provide comprehensive administrative and executive support to the CEO and senior leadership team.
  • Manage and coordinate calendars, meetings, appointments, and executive priorities.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Prepare presentations, reports, correspondence, meeting materials, and executive briefs.
  • Manage incoming communications and ensure timely follow up on action items and commitments.
  • Attend meetings, record minutes, and track progress on assigned actions.
  • Conduct research and prepare reports, analyses, and summaries to support executive decision making.
  • Serve as a primary liaison between the CEO and internal and external stakeholders.
  • Coordinate executive events, board meetings, workshops, conferences, and stakeholder engagements.
  • Support cross functional projects and strategic initiatives, ensuring timely execution and follow up.
  • Maintain filing systems, records, databases, and administrative processes.
  • Monitor office requirements and coordinate with vendors and service providers when necessary.
