About the Role

- Compose, prepare all related correspondence using a range of office software
- Proofread and disseminate correspondences to related internal and external parties
- Provide administrative and clerical support to department’s team members
- Greet visitors and handle their inquiries or direct them to appropriate persons
- Schedule, prioritize appointments, ensuring seamless meetings, deadlines, and duties
- Handle, coordinate travel arrangements; prepare itineraries; maintain travel vouchers
- Ensure meeting agenda is shared, attend meetings, record minutes and circulate
- Monitor and report on daily and weekly progress of projects
- Follow up and track all projects and correspondence with internal and external stakeholders

- Project Management a plus
- Government stakeholder experience
- Minimum 10 years experience in executive office

Job Objective
- Provide administrative support to CEO office including organizing and planning office operations in order to ensure office operations effectiveness and efficiency.
Functional Role: Office Correspondence
- Compose, prepare all related correspondence using a range of office software, including email, spreadsheets and databases.
- Proofread and disseminate correspondences to the related internal and external parties.
- Provide administrative and clerical support to department’s team members.
- Greet visitors and handle their inquiries or direct them to the appropriate persons according to their needs.
- Follow up and track all projects and correspondence in both internal and external stakeholders.
Calendar Management
- Schedule; prioritize appointments, ensuring that meetings, deadlines and other duties of the CEO office are carried out seamlessly.
- Handle, coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
- Ensure meeting agenda is shared with all related parties, attend meetings, record meeting minutes and circulate on all involved parties.
Projects Management
- Monitor and report on daily and weekly progress of projects.
- Follow up and track all projects and correspondence in both internal and external stakeholders.
- Perform any other job related duties and responsibilities as designated by the line manager.
