Job Description

  • Manage executive calendars with precision, balancing competing priorities and ensuring optimal scheduling.
  • Facilitate seamless communication between executives and internal/external stakeholders.
  • Coordinate and execute domestic and international travel arrangements, including itinerary planning, accommodation, and logistics management.
  • Prepare, organize, and coordinate high impact presentations, reports, and business correspondence.
  • Plan and execute virtual and in person events, from intimate meetings to large scale conferences.
  • Create and maintain comprehensive administrative documentation including spreadsheets, distribution lists, databases, and tracking systems.
  • Process and manage expense reports, purchase orders, invoices, and vendor coordination.
  • Attend executive meetings, document minutes, and follow up on action items.
  • Conduct research and analysis to support executive decision making and strategic planning initiatives.
  • Collaborate effectively across all organizational levels.
  • Maintain the highest standards of confidentiality, business ethics, and compliance.
  • Demonstrate flexibility and resilience in adapting to changing priorities.

Qualifications

  • Bachelor's degree or 5+ years of professional experience in executive support or related corporate role.
  • Advanced proficiency with Microsoft 365 applications (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills with ability to manage multiple competing demands.
  • Excellent written and verbal communication skills in English; multilingual capabilities are a plus.
  • Strong attention to detail with proven ability to deliver accurate documentation.
  • Demonstrated experience managing executive calendars, travel arrangements, and events.
  • Proficiency in expense report preparation and basic financial administration.
  • Ability to work independently with sound judgment and discretion.
  • Strong interpersonal skills and experience in multicultural environments.
  • Commitment to maintaining confidentiality and adhering to business ethics standards.
  • Experience supporting C suite or senior leadership executives.
  • Familiarity with SharePoint, content management systems, or accounts payable processes.
