Position Overview

  • Entry Level Administrative Professional to join Operations team.
  • Provides essential administrative and operational support to various departments.
  • Coordinates schedules, manages documentation, assists with internal communications, organizes meetings, maintains records, and improves processes.
  • Requires excellent organizational skills, strong communication, attention to detail, and ability to work independently in a fully remote environment.

Key Responsibilities

  • Administrative Support: Provide day to day assistance, prepare documents, maintain filing systems, archive records, monitor inboxes, assist with data entry.
  • Operations Support: Coordinate workflows, track tasks, prepare reports, monitor completion, support onboarding, maintain SOPs.
  • Calendar & Meeting Coordination: Schedule meetings across time zones, send invitations, prepare agendas, record notes, coordinate virtual events.
  • Communication Support: Draft emails and announcements, coordinate between departments, respond to inquiries, support knowledge sharing.
  • Office & Administrative Coordination: Maintain digital systems, track supplies, assist with vendor documentation, support travel planning.
  • Data & Reporting: Update databases, compile reports, perform quality checks, generate routine reports.
  • Process Improvement: Identify workflow improvements, recommend efficiencies, participate in projects, assist in implementing new tools.

Required Qualifications

  • High school diploma required; Associate's or Bachelor's degree in Business Administration, Management, Communications, or related field preferred.
  • 0–2 years of administrative, office support, customer service, internship, or similar experience.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills in English.
  • High attention to detail and accuracy.
  • Ability to manage priorities and meet deadlines.
  • Comfortable working independently in a remote environment.
  • Professional attitude with strong interpersonal skills.
  • Willingness to learn new systems and administrative processes.

Preferred Qualifications

  • Previous internship or administrative support experience.
  • Experience working remotely or in a virtual team.
  • Familiarity with project coordination.
  • Knowledge of business communication standards.
  • Arabic language proficiency is a plus.

Technical Skills

  • Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Google Workspace (Docs, Sheets, Slides, Drive, Calendar).
  • Video conferencing platforms (Zoom, Microsoft Teams, Google Meet).
  • Collaboration tools (Slack or similar).
  • Task management platforms (Asana, Trello, ClickUp, or Monday.com).
  • Cloud document management systems.
