About the Role

- Maintain all important documents in hardcopy and/or electronic format, ensuring information is easily accessible
- Provide administrative assistance to the CMU Lead and other CMU staff in their reporting obligations
- Control files, drawings and engineering documents and coordinate all activities related to Document Control
- Maintain a reliable data entry system including filing, scanning, electronic management, archiving and document tracking
- Maintain controlled copies of latest approved documents and ensure distribution
- Liaise with Document Management/FCTS team to set up a compliant document management solution
- Implement an effective document management system across the Project Lifecycle
- Coordinate collection, classification, distribution and storage of relevant PPP documentation
- Prepare and distribute correspondences, reports, memorandums, schedules and materials for publication
- Control drawings, design records, standards, procedures, correspondence and minutes of meetings
- Record and archive all hardcopy and softcopy documents
- Maintain an appropriate electronic database as backup to traditional hardcopy archive system
Requirements
- Minimum of 5 years’ experience in document control
- Must have worked in a PMC, Design or Engineering Consultancy company previously
- Excellent communication skills in English, written and spoken
- Proficient in Electronic Documentation Management Software systems ACONEX expertise is required
- Experienced user of MS Office
- Capable of working with minimal supervision
- Demonstrable track record of working on commercial or school build projects
- In depth knowledge of document procedures
- Effective in building good working relationships within complex structures, both internally and with various project stakeholders

The Role
- Our Multinational Design Consultancy client has a new requirement for a well experienced Document Controller to join their team in Dubai.
- Successful candidates will have extensive Document Control experience on large scale construction projects including Commercial and Mixed use building projects.
- Candidates must have relevant experience in working for a recognised design or engineering consultancy and be fully proficient with ACONEX.
- This role is available for immediate joining and is an initial 3 month contract position, outsourced through J10 Consulting.
Responsibilities
- Maintains all important documents hardcopy and/or electronic format as directed, ensuring that the information is easily accessible whether stored locally or archived;
- Provide administrative assistance to the CMU Lead and other CMU staff in their reporting obligations and other functions;
- Control files, drawings and engineering documents and co ordinate and manage all activities related to the Document Control section, which may include the control of other administrative documents;
- Maintain a reliable data entry system accommodated by tasks such as filing hardcopies, scanning, electronic management, filing and processing, archiving and document tracking, inputs the document data into the standard registers whilst ensuring that the information is accurate and up to date;
- Maintains controlled copies of the latest approved documents adding the appropriate reference and priority whilst ensuring their distribution, if required.
- Liaises with Document Management / FCTS team to set up a compliant document management solution;
- Responsible for implementing an effective document management system across the Projects’ Lifecycle;

Document Controller Requirements
- Minimum of 5 years’ experience
- Must have worked in a PMC, Design or Engineering Consultancy company previously
- Excellent communication skills in English, written and spoken;
- Proficient in Electronic Documentation Management Software systems ACONEX expertise is required, SharePoint, Documentum are added benefit
- Experienced user of MS Office;
- Capable of working with minimal supervision;
- Demonstrable track record of working on commercial or school build projects;
