Document Control Manager

What You’ll Be Doing

• Manage document control systems for all planning, architectural, engineering, and authority-related submissions.
• Ensure all documents are registered, tracked, issued, and archived in line with the standards.
• Maintain structured filing systems for both digital and hardcopy records.
• Monitor document workflows, review cycles, and approval status.
• Ensure document numbering, revision control, and version tracking are consistently applied.
• Coordinate issuance of documents to internal teams, consultants, and authorities.
• Support authority submissions by managing document packages and maintaining accurate records.
• Prepare document registers and reports on submission and approval status.
• Audit document completeness, accuracy, and traceability.
• Train project and consultant teams on document control processes and systems.
• Ensure secure handling of confidential and sensitive information.
• Maintain compliance with document retention and record management policies.
• Coordinate with consultants and internal teams to enforce standard document control processes.
• Monitor submission flows and address missing or incorrect documentation.
• Escalate issues related to document compliance as required.

What Required Skills You’ll Bring

• Bachelor’s Degree in Business Administration, Information Management, Engineering, or a related field.
• Minimum of 12 years of experience in document control roles.
• Strong expertise in document control systems and workflows.
• Proven experience managing large volumes of technical and authority-related documentation.
• Strong knowledge of document numbering systems, revision control, approvals, and archiving processes.
• Ability to prepare document registers, dashboards, and audit reports.
• Strong governance, compliance, and confidentiality management capabilities.
• Proficiency in Document Management Systems such as Aconex, SharePoint, or equivalent.
• Proficiency in MS Office Suite (Excel, Word) and PDF tools.
• Excellent written and spoken English communication skills.
• Ability to coordinate effectively with internal teams, consultants, and external stakeholders.
