Overview

Dar Al Yusr is seeking an experienced

Document Control Lead

to oversee and govern document control activities for a major project in Makkah.

The role is responsible for managing the project’s document management processes, maintaining information integrity, ensuring version control and traceability, and supporting handover readiness.

The successful candidate will establish a structured and reliable document control environment that enables smooth coordination between project stakeholders and supports compliance, audit readiness, and operational transition.

Responsibilities

  • Establish and enforce document management procedures, workflows, and naming conventions in line with project and industry best practices.
  • Manage and administer the document management system / common data environment to ensure accurate filing, storage, retrieval, and distribution of project documents.
  • Maintain and monitor document registers, transmittals, version control, review cycles, approvals, and document status reporting.
  • Ensure document traceability and audit readiness by verifying metadata, revision history, approvals, and record completeness.
  • Coordinate with project teams and external parties to ensure proper submission, review, and control of drawings, manuals, reports, certificates, warranties, and handover documentation.
  • Conduct periodic document audits to identify gaps, inconsistencies, or missing information and follow up on corrective actions.
  • Support the setup of folder structures, metadata standards, and documentation frameworks aligned with asset information and handover requirements.
  • Provide guidance and training to team members on document control procedures and system usage.
  • Prepare dashboard reports and status updates on document completeness, overdue reviews, outstanding issues, and handover package readiness.
  • Support the digital compilation and delivery of final handover documentation and asset-related information.

Qualifications

  • Bachelor’s degree in Engineering, Information Management, Science, or a related field.
  • Minimum
  • 15 years of experience
  • in document control on large construction, infrastructure, or multidisciplinary projects.
  • Strong experience with EDMS / CDE platforms such as

Aconex, OpenText, Oracle, SharePoint

  • , or similar systems.
  • Solid knowledge of document control practices, transmittals, metadata, document registers, version control, and audit processes.
  • Experience in handover documentation and working within complex project environments involving multiple stakeholders.
  • Strong organizational skills, attention to detail, and ability to manage document workflows effectively.
  • Excellent communication, coordination, and stakeholder management skills.
  • Experience in facilities management handovers and BIM / CAFM integration is an advantage.
