Job Summary

  • The Dispatch Coordinator is responsible for managing and coordinating vehicle deliveries, self pickups, self check ins, and collections while ensuring smooth operational flow and timely customer service.
  • The role also includes validating customer documentation, coordinating payments prior to delivery, arranging rides for operational tasks, and maintaining proper reconciliation records related to fuel and transportation activities.

Key Responsibilities

  • Ensure all vehicle deliveries, self pickups, self check ins, and collections are executed on time as per operational requirements.
  • Evaluate and verify all required customer documents necessary for opening rental agreements and ensure all mandatory payments are completed prior to vehicle delivery.
  • Maintain continuous communication with customers regarding updates on deliveries, collections, and service requests to ensure high customer satisfaction.
  • Coordinate and arrange rides/bookings on time for operational staff to ensure timely execution of deliveries, collections, and related tasks.
  • Prepare and maintain fuel reconciliation reports accurately and ensure all transportation arrangements related to operational transactions are managed efficiently and on time.
  • Coordinate closely with dispatch, operations, and customer service teams to maintain smooth workflow and minimize delays.
  • Monitor daily operational schedules and ensure timely completion of assigned tasks.
  • Escalate operational issues or delays to management whenever required.

Required Skills & Competencies

  • Strong coordination and organizational skills.
  • Good communication and customer handling abilities.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Knowledge of fleet operations and rental agreement processes.
  • Proficiency in Microsoft Excel and operational tracking systems.
  • Attention to detail in documentation and reconciliation processes.
