About the Role

  • Vibes Events on behalf a valued client is seeking a highly organised, proactive and detail oriented Content & Programme Executive to support the planning, development and delivery of high profile international conferences and thought leadership initiatives across the defence & security portfolio.

Location, Reporting, Working Days, Contract

  • Location: ADNEC, Abu Dhabi, UAE
  • Reporting To: Content Manager
  • Working Days: Monday to Saturday; 9AM to 6PM (including 1 hour break)
  • Contract Type: 3 months (extendable)

Research & Content Development

  • Conduct research on industry trends, emerging technologies, policy developments and global best practice across defence, security, aerospace and related sectors.
  • Support the development of conference themes, agendas, session narratives, discussion topics and briefing materials.
  • Prepare speaker profiles, biographies and background research; produce summaries, reports and briefing documents for internal and external stakeholders.
  • Identify and research potential speakers, moderators, industry experts and thought leaders.

Speaker & Stakeholder Management

  • Support speaker outreach, invitation tracking and follow up communications.
  • Coordinate with keynote speakers, panellists, moderators and partner organisations; assist with the collection of bios, photographs, presentations and supporting materials.
  • Maintain accurate speaker databases and project trackers; support pre event briefing calls and stakeholder meetings.

Project Coordination & Reporting

  • Support the delivery of multiple conferences, publications and strategic programmes simultaneously; coordinate timelines and track key milestones.
  • Assist in the preparation of presentations, executive briefings, project updates and stakeholder reports; coordinate meetings, record minutes and track actions.
  • Ensure accuracy, consistency and attention to detail across all project documentation, presentations and reporting materials.

What We Are Looking For

  • Bachelor’s degree; 1–4 years of experience in conferences, events, content development, research, communications, consulting or a related field.
  • Exceptional written and verbal communication skills in English, with strong research and analytical capabilities.
  • Advanced proficiency in Microsoft PowerPoint, Word and Excel, with strong presentation development and formatting skills.
  • Strong stakeholder engagement and relationship management skills; professional, confident and diplomatic communication style.
  • Ability to manage multiple projects and competing priorities simultaneously in a fast paced environment.
  • Adaptable, resilient under pressure, highly organised and committed to delivering high quality work.
  • Prior experience supporting conferences or strategic communications projects is advantageous.

Additional Information

  • Initial contract duration is 3 months, extendable until January 2027 based on project requirements and performance.
  • Candidates must be flexible regarding contract extension as required by business needs.
