This role is critical to ensuring the Director stays organized, informed, and efficient across all business priorities.
The ideal candidate is highly organized, detail-oriented, and proactive—capable of managing time independently and staying focused in a fast-paced environment.
You should have a proven track record supporting executives or business leaders, with strong problem-solving skills and the ability to resolve issues quickly with minimal supervision.
This position involves leading the execution of business initiatives through smooth project management, client coordination, and proactive lead generation.
You will oversee key commercial opportunities from initial prospecting to final delivery, ensuring each project aligns with the Talent’s annual strategic goals.
This includes managing timelines, structuring workflows, following up on action items, and keeping internal teams aligned throughout the project lifecycle.
You will also serve as a key link between the Business Director, Talent, and external partners, ensuring clear communication and timely execution at every stage.
Success in this role requires excellent time management, flexibility under pressure, and a consistent ability to prioritize competing demands while delivering high-quality support.
Lead Generation And Updates
- Identify potential leads using the internal screening process and follow up within 48 hours.
- Proactively track all leads and projects to ensure timely follow-ups, next steps, and update them on Monday.com.
Business Development & Negotiation
- Filter, research, and meet with qualified prospects before escalating to the BD.
- Coordinate deal negotiations, review contract terms, and ensure they align with internal standards.
- Promptly respond to external emails including fans, prospects, gifts, PR, and podcast requests.
Project Management & Campaign Oversight
- Create project scopes, objectives, and KPIs in alignment with each brand deal.
- Develop and track detailed task plans to ensure timely, on-budget delivery.
- Oversee deliverables, logistics, quality control, and cross-functional communication.
- Maintain ownership of all project logistics (with assistant support), ensuring execution remains fully aligned with signed contract terms.
- Perform risk management to anticipate and reduce project risks.
- Deliver post-campaign ROI and performance reports with internal data support.
Client & Talent Coordination
- Maintain and update the media deck monthly in collaboration with the social/branding team.
- Coordinate talent involvement in campaigns, ensuring on-time content delivery.
- Organize events, logistics, and ensure smooth communication between BD and internal departments.
Contract & Financial Oversight
- Review, flag, and help finalize contracts; ensure proper documentation and filing.
- Liaise with Finance for payment follow-ups and ensure timely invoicing and collections.
- Store all agreements securely in Google Drive and maintain accurate tracking.
Operational Reporting & Communication
- Maintain up-to-date information in Monday.com and CRM.
- Provide timely reports, insights, and summaries to the BD.
- Respond swiftly to urgent WhatsApp or email requests and help the BD stay on track with all priorities.
- Prioritize conflicting needs and manage multiple projects simultaneously with a focus on deadlines and quality.
- Constantly improve workflows and templates for smarter execution.
What You’ll Need
- Bachelor’s degree in Business, Marketing, Communications, or a related field.
- 5–7 years of experience in client management, brand partnerships, business development, or project execution.
- Strong project management and organizational skills.
- Ability to manage work under pressure independently and with flexibility.
- Excellent time management, prioritization, and multitasking skills.
- High emotional intelligence and openness to constructive feedback.
- Strong writing and speaking skills.
- Resourcefulness and ability to problem-solve quickly in high-stakes situations.
Project Management
- Define scopes, KPIs, timelines, and budgets
- Track detailed project plans and daily tasks
- Mitigate risks and ensure timely, high-quality delivery
- Deliver post-campaign reports with insights and results
Communication & Coordination
- Liaise with prospects, partners, and internal teams
- Ensure seamless coordination between BD, Finance, Creative, and Talent
- Own all project updates and communication channels
Contracts & Compliance
- Review and track contracts
- Flag legal or operational concerns
- Ensure proper archiving and contract lifecycle management
Tools & Tech
- Proficiency in Google Suite, Microsoft Office (Excel, PowerPoint, Word), Monday.com
- CRM/database upkeep
- Familiarity with media deck creation and reporting templates
