Role Overview

The Administrative Executive role focuses on vendor management, facilities, employee experience, compliance, process improvement, and operational reporting.

Vendor and Purchase Management

  • Manage vendor relationships and ensure timely delivery of services.
  • Process purchase orders, invoices, and payments with finance.
  • Maintain and renew agreements and service contracts before expiry.
  • Evaluate vendor quality, cost efficiency, and reliability.
  • Track vendor performance and ensure SLA compliance.

Facility and Maintenance Management

  • Oversee housekeeping, security, maintenance, and other facility operations.
  • Ensure annual maintenance contracts are in place and serviced on time.
  • Maintain office infrastructure and resolve technical issues promptly.
  • Conduct audits for workplace hygiene, safety, and upkeep.
  • Maintain inventory of office supplies, consumables, and IT assets.

Employee Experience and Events

  • Support employee engagement events, festivals, and celebrations.
  • Coordinate with internal teams to support smooth onboarding and offboarding.
  • Manage employee travel and accommodation while optimizing cost and convenience.

Process, Compliance, and Reporting

  • Maintain documentation and reports related to vendors, payments, and inventory.
  • Ensure adherence to company policies and compliance standards.
  • Support internal and external audits by maintaining accurate records.
  • Identify opportunities for process improvement and cost optimization.
  • Maintain monthly MIS reports and share weekly and monthly dashboards with key highlights.

Qualifications and Experience

  • A degree in BHM, Business Administration, Facility Management, or an equivalent field is required.
  • The role requires 2–6 years of experience in office administration or workplace management.
  • Experience managing vendors, events, and facility operations in a fast-growing organization is required.
  • BHM graduates with prior Restaurant Manager experience are preferred.
