The Opportunity
Support the West Oak Family Office team as an Administrative Associate.
Provide administrative and operational support to associates and senior portfolio managers serving high- and ultra-high-net-worth clients.

Wellington-Altus is a Canadian financial services organization with offices across the country and multiple affiliated companies.
The organization supports entrepreneurial advisors, portfolio managers, and high-net-worth clients.
Key Responsibilities
- Complete administrative duties and account-related activities, including letters, emails, and client communications.
- Prepare, review, and deliver paper and digital client-signature document packages.
- Monitor outstanding items and ensure documentation is completed, received, and processed accurately and promptly.
- Prepare and distribute regular and ad hoc reports.
- Provide approved account status information and account balances.
- Maintain client records, update CRM systems, and keep documentation compliant with industry regulations.
- Assist with client meetings by preparing materials, account-opening documents, product research, and reports.
- Coordinate workflows and track account tasks, documentation requests, and follow-ups.
