Job Objective
The Administrative Executive plays a key role in ensuring the smooth and efficient operation of the organization by providing comprehensive administrative and operational support across all departments.
It Asset Management
- Maintain an accurate inventory of all IT assets
- Coordinate procurement, distribution, and disposal of IT equipment
- Ensure compliance with internal IT policies and procedures
Facility Management
- Oversee daily facility operations to ensure a safe and productive work environment
- Liaise with external vendors for maintenance, repairs, and services
- Implement cost-effective solutions to improve workplace efficiency
Meeting Room Management
- Manage and coordinate meeting room bookings
- Ensure rooms are properly set up and equipped as required
- Resolve scheduling conflicts and optimize space utilization
Employee Onboarding Support
- Coordinate with HR to prepare and distribute employee joining kits
- Support onboarding activities to ensure a smooth induction experience
Supplier & Payment Coordination
- Process and track payments related to office suppliers
- Maintain accurate records of invoices and expenses
- Work closely with Finance to ensure timely payment processing
Housekeeping Management
- Supervise housekeeping services to maintain cleanliness and hygiene standards
- Conduct regular inspections and address issues promptly
Office Supplies & Requirements
- Manage office supplies, equipment, and general requirements
- Coordinate with departments to fulfill operational needs
- Ensure cost-effective procurement and inventory control
Requirements
- Bachelor’s degree in Business Administration or a related field
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office
- Flexible and able to work extended hours when required
