Role Description

This is a full-time, on-site Admin Supervisor role based in Dubai.

The Admin Supervisor will oversee administrative operations, coordinate workflows, and manage daily office tasks to ensure efficiency.

Responsibilities include handling customer inquiries, preparing and managing budgets, planning schedules, and ensuring smooth communication channels within the team and with clients.

The role also involves analyzing operational processes and implementing improvements for overall productivity.

Board Support

Schedule, coordinate and handle logistics of monthly board meetings (in coordination with admin assistant)

Prepare and circulate meeting agendas (in coordination with admin assistant)

Strategic & Board Oversight

Develop board meeting agenda and strategic direction

Present reports to the board

Monitor implementation of board decision

Webinar & Program Oversight

Proposing relevant webinar topics

Identify qualified speakers and coordinate communication with them.

Support the selection and confirmation of webinar moderators.

Review of post-event reports and performance metrics

Ensure educational quality and professional standards

Conduct pre-event runs (in coordination with admin assistant)

Communications

Approve social media content

Review announcements before publication

Manage the alliances email inbox.

Manage WhatsApp community group and respond to WhatsApp messages (in coordination with admin assistant)

Supervise Administrative Assistant

Conduct monthly performance check-ins

Delegate tasks and monitor completion

Approve leave requests

Ensure operational efficiency

Reporting & Growth

Prepare quarterly performance reports where required

Monitor membership growth

General & Operational Administration

Represent alliance in external meetings and events

Support logistics for in-person meetings (in coordination with admin assistant)

Oversee vendor supply updates and ensure timely payment follow-up with Finance

Oversee implementation of Secretary General directives and provide consolidated reporting when required.

Supervise institutional partnerships and ensure proper governance and follow-up of agreements.

Represent the alliance in major exhibitions, conferences and strategic engagements.

Qualifications

  • Strong Communication and Customer Service skills to effectively interact with clients and the team.
  • Bachelor's degree in Business Administration, Management, or a related field is preferred.
