Job Summary

  • We are seeking a proactive and detail oriented Accountant cum Admin to join our real estate operations team in Sharjah.
  • The ideal candidate will be responsible for managing day to day accounting activities, rent collection, tenant coordination, administrative functions, and supporting the Property Manager.

Key Responsibilities

  • Maintain accurate accounting records and financial transactions.
  • Record rental income, expenses, receipts, and payments in the accounting system.
  • Prepare monthly bank reconciliations and monitor cash flow.
  • Manage Accounts Receivable (AR) and Accounts Payable (AP).
  • Follow up on outstanding rent payments and issue reminders to tenants.
  • Prepare invoices, receipts, payment vouchers, and journal entries.
  • Assist in monthly, quarterly, and annual financial reporting.
  • Coordinate with auditors and provide required documentation during audits.
  • Maintain tenant security deposit records and related reconciliations.
  • Ensure compliance with company policies and UAE accounting regulations.

Property Management Support

  • Monitor tenancy contracts, renewals, expiries, and lease documentation.
  • Coordinate rent collections, post dated cheques, and payment schedules.
  • Maintain tenant records and update property management databases.
  • Assist the Property Manager in managing daily property operations.
  • Support occupancy tracking and leasing administration activities.
  • Prepare reports related to occupancy, collections, and tenant status.

Tenant Relations & Coordination

  • Serve as the primary point of contact for tenant inquiries and concerns.
  • Coordinate tenant move ins, move outs, and contract renewals.
  • Handle tenant complaints professionally and ensure timely resolution.
  • Follow up with tenants regarding maintenance requests and service issues.
  • Maintain positive tenant relationships to enhance tenant satisfaction and retention.

Maintenance & MEP Coordination

  • Coordinate with MEP, maintenance, and facility management teams regarding tenant complaints and maintenance requests.
  • Track maintenance work orders and ensure timely completion.
  • Follow up on repairs, preventive maintenance schedules, and vendor services.
  • Liaise with contractors, suppliers, and service providers as required.
  • Ensure maintenance records and service reports are properly documented.

Administration

  • Manage office administration and document control.
  • Maintain tenancy files, contracts, licenses, and company records.
  • Draft correspondence, notices, tenant communications, and reports.
  • Coordinate with government authorities, utility providers, and external stakeholders when required.
  • Handle filing, record keeping, and general administrative duties.
  • Support HR and management with administrative tasks as assigned.
