Responsibilities
- Manage end to end visa processes including applications, renewals, transfers, and cancellations for students and employees
- Process and respond to visa, insurance, and refund enquiries through ServiceNow and other channels
- Review and verify documents to ensure compliance with UAE immigration and university requirements
- Coordinate medical fitness examinations and Emirates ID biometric appointments
- Manage health insurance applications, renewals, additions, cancellations, and annual census
- Support student visa deposit refund processes in collaboration with Finance
- Maintain accurate records, trackers, reports, and confidential documentation
Requirements
- Diploma or equivalent in Business Administration, HR, Customer Service, or related field
- 2 4 years experience in administration, customer service, student services, or similar
- Strong experience managing high volume transactions and documentation
- Excellent organizational skills and attention to detail
- Proficiency in Microsoft Office, especially Excel and Outlook
- Experience with ServiceNow, AXS, CRM systems (desirable)
- Previous exposure to visa, immigration, or government liaison processes (desirable)

Role Overview
- The University of Wollongong in Dubai is seeking a Visa Officer to join the People & Culture team.
- Manage visa, immigration, health insurance, and related administrative processes for students and employees.
- Ensure compliance with UAE regulations while delivering exceptional customer experience.
Key Responsibilities
- Manage end to end visa processes including new applications, renewals, transfers, status changes, and cancellations.
- Process and respond to visa, insurance, and refund enquiries through ServiceNow and shared mailboxes.
- Review and verify documents to ensure compliance with UAE immigration and university requirements.
- Track application progress, resolve returned or rejected cases, and ensure timely completion.
- Coordinate medical fitness examinations, Emirates ID biometric appointments, and related government processes.
- Manage health insurance applications, renewals, additions, cancellations, and annual census activities.
- Support student visa deposit refund processes in collaboration with the Finance team.
- Maintain accurate records, trackers, reports, and confidential documentation.
- Provide guidance and support to students, employees, and various university stakeholders.
Essential Qualifications & Experience
- Diploma, certificate, or equivalent in Business Administration, Human Resources, Customer Service, or related field.
- 2 4 years experience in administration, customer service, student services, operations, or similar.
- Strong experience managing high volume transactions, documentation, records, and service requests.
- Excellent organizational skills with ability to manage multiple priorities and deadlines.
- High attention to detail and accuracy when handling documentation and compliance processes.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications, particularly Excel and Outlook.
Desirable
- Experience using ServiceNow, AXS, CRM systems, or similar workflow platforms.
- Previous exposure to visa, immigration, employee mobility, student services, health insurance, or government liaison processes.
- Arabic or additional language capabilities.
