We are looking for an organized, proactive, and solution-oriented individual to coordinate the internal operations that contribute to a great employee experience every day.
In this role, you will oversee the logistics and execution of three key areas: corporate travel, internal events, and promotional items and employee recognition programs. You will play a central role in ensuring that activities are delivered smoothly, efficiently, and in line with organizational needs, while also being ready to adapt when unexpected situations arise.
You will collaborate closely with internal teams and external partners to ensure a consistent and well-coordinated experience. This role is ideal for someone who enjoys moving from planning to execution, managing multiple priorities, solving problems, and continuously improving processes.
Corporate Travel Coordination
Act as the main point of contact for the corporate travel agency.
Coordinate corporate travel arrangements, including flights, hotels, and ground transportation.
Ensure travel arrangements comply with internal policies and approved budgets.
Manage changes, cancellations, and unexpected travel issues efficiently.
Produce reports and analyze travel trends to identify opportunities for optimization.
Develop and maintain corporate agreements with selected hotel chains, car rental companies, and airlines.
Internal Events Coordination
Plan and coordinate corporate and social internal events.
Manage event logistics, timelines, budgets, and all operational details.
Coordinate with vendors, internal stakeholders, and service providers.
Prepare event materials, including agendas, attendee lists, communications, and other supporting documents.
Provide on-site operational support during events.
Conduct post-event follow-ups and identify opportunities for improvement.
Promotional Items & Employee Recognition
Manage the inventory of promotional and branded items.
Coordinate orders, suppliers, deliveries, and distribution.
Collaborate with internal teams to identify needs and anticipate demand.
Monitor budgets, inventory levels, and delivery timelines.
Recommend new branded products aligned with Sherweb’s brand and employee needs.
Maintain accurate inventory reports and continuously improve related processes.
Lead and coordinate employee recognition programs across the organization.
Here’s what you need to succeed in this role
Minimum of 3 years of experience in event coordination, administration, logistics, corporate travel, or a related field.
Strong organizational skills and the ability to manage multiple priorities simultaneously.
Excellent attention to detail and strong sense of rigor.
Strong communication and interpersonal skills.
Collaborative mindset and strong service orientation.
Autonomous, resourceful, and proactive approach.
Ability to remain calm, flexible, and solution-oriented when dealing with unexpected situations.
Strong sense of ownership and follow-through.
Qualifications
- Experience in event coordination, administration, logistics, or a related field.
- Experience managing corporate travel is a strong asset.
- Proficiency with Microsoft Office Suite and collaboration tools.
- Bilingual in French and English, both spoken and written.
